JOB SUMMARY
The Philadelphia Department of Public Health (PDPH), through its Immunization Program in the Division of Disease Control, oversees the purchase and distribution of federally funded vaccines to local healthcare providers. As one of 64 U.S. Centers for Disease Control and Prevention (CDC) funded program areas, the Philadelphia Immunization Program is charged with the mission to prevent vaccine-preventable diseases and increase the immunization coverage levels among infants, children, adolescents, and adults in Philadelphia. PhilaVax Immunization Information System (IIS) is tasked with collecting and housing all immunization data for the City of Philadelphia. The information it houses is used to support DDC operations and is the primary source of operational information for the Immunization Program.
The IIS Data Specialist will be responsible for identifying and removing duplicate patients in the IIS, as well as duplicate vaccines from patient records. The Data Specialist will be expected to provide routine feedback to the IIS Support and Data Coordinator on deduplication progress and make suggestions for workflow improvements. The Data Specialist will also be responsible for making corrections to other IIS data, such as lot numbers, vaccine administration data and or other IIS data as required. This position will work closely with the IIS Support and Data Coordinator and other staff to ensure that the program is prepared to respond to public health emergencies and able to effectively manage resources associated with Immunization Program programmatic activities.
This position is Monday through Friday, 8:30 a.m. to 5:00 p.m., with occasional work after hours and on weekends to support Program activities. This is a grant-funded position through June 2026; continuation of the position is contingent upon sustained funding.

Responsibilities/Duties
- Deduplicate Patient records in PhilaVax IIS.
- Update, remove, and or correct patient records in the IIS.
- Update, remove, and or correct vaccine data in the IIS.
- Update, remove, and or correct supplemental data in the IIS.
- Provide support, as requested, to immunization program units for data needs.
- Provide weekly reports to the IIS Support and Data Coordinator on deduplication progress.
- Provide routine feedback to the IIS Support and Data Coordinator on recommendations for workflow changes around data deduplication, updates, or general entry.
- Attend the biweekly IIS Stakeholder’s meeting as a subject matter expert (SME).
- Support IIS Informatics section data quality initiatives as needed.
- Support other initiatives of the IIS such as, but not limited to, updating workflow processes, attending health fairs, data entry at Community Flu Clinics, and more.
- Must be willing to help in a public health emergency.
- Other duties as required.
