Position Summary

 

The Agua Caliente Cultural Museum (ACCM) seeks an Administrative Coordinator to join our dynamic team. Reporting to the Manager of Administration, this position will contribute to the strategic development and operational administration of the ACCM’s new 48,000 square-foot, state-of-the-art facility and inaugural exhibitions dedicated to the history, culture, and present times of the Agua Caliente Band of Cahuilla Indians. This includes participating in varied project coordination, administrative support, accounts payable processing, record keeping, and communication coordination in support of the Administration Department team and other internal departments, other Tribal departments, and external third parties such as independent contractors and vendors.

Essential Duties/Responsibilities

 

  • Coordinate the facilitating of meetings and other communications with Museum staff, as well as outside organizations, vendors and contractors
  • Actively communicate and work collaboratively with all Museum departments including: Education & Public Programs, Curatorial & Collections, Marketing & Events, and Retail & Visitor Services to ensure successful coordination of building readiness, programs, events, and exhibitions
  • Supervise the daily activities of the ACCM in-house EVS staff
  • Participate in coordinating all activities related to building operation readiness and building projects, setting up new vendor accounts, exhibition support, Visitor Services, Retail, Marketing, Events, Programs, and Education, as assigned
  • Participate in developing and updating Museum operations manuals, standard operating procedures, and material safety data sheets and notebooks
  •  With the Manager of Administration participate in developing and coordinating emergency procedures and supplies
  • Maintain team and project schedules, including day-to-day and long-term management of a weekly Managers’ Meeting, other team meetings, projects, and priorities; ensure all teams stay on track and deadlines are met
  • Use Microsoft Office software, including Word, Excel, PowerPoint and Outlook to help coordinate, manage and monitor Museum projects
  • Help to maintain Museum Administration calendars, files, documents, schedules and reports
  • Order, maintain and distribute office supplies
  • Greet Museum guests, respond to phone/email/website inquiries and route to appropriate team members

 

Qualifications

Desired Qualifications

 

  • Knowledge of museum practices is preferred
  • Ability to multi-task and manage multiple projects effectively and simultaneously
  • Proficiency in Microsoft Office Suite, Microix, Versai, and other basic office and data management software
  • Excellent communication, interpersonal and writing skills and an ability to work collaboratively and create consensus
  • Ability to read and interpret basic accounting information
  • An appreciation for the Museum’s mission
  • Ability to work evenings and weekends, as needed, arranged in advance

 

Experience

 

  • Proven ability to work constructively within a team framework to create consensus
  • Strong computer experience particularly in Outlook and Microsoft Office
  • Proven ability to work with a wide range of disciplines and interests
  • Proven ability to understand and work within institutional priorities

 

 

Work Environment

 

Typically, the job requires the employee to sit for extended periods of time, work mostly indoors but sometimes outside, as well as stand, walk, climb, crouch, and stoop. The position occasionally requires the ability to lift up to 25 pounds. Duties may require working on weekends and evenings, as required and arranged in advance
