Description

This is a fixed term position for 24 months up 29 hours per week.

Working alongside the CDO, CEO and Fund Development staff, the Capital Campaign Assistant provides a detail-oriented, organized, and proactive support for GSNTX’s campaign efforts. This role is essential in keeping the campaign on schedule, prospecting donors, managing campaign logistics, and coordinating campaign-related events. The ideal candidate is highly organized, deadline-driven, and has excellent communication skills to effectively support the campaign’s operational and donor engagement goals.

Responsibilities:

Campaign Timeline Management:

  • Develop and maintain a detailed campaign timeline, ensuring all key milestones are met.
  • Coordinate with the CDO to keep track of all campaign activities and deadlines.
  • Adjust and update campaign schedules as needed, providing regular progress reports to leadership.

Donor Prospecting & Relationship Management

  • Assist in identifying and researching potential major gift donors.
  • Support the CDO, CEO and Fund Development staff with maintaining and updating donor records, ensuring accurate and current information.

Campaign Materials Preparation

  • Assist in assembling compelling materials for donor asks, including presentations, proposals, and impact reports.
  • Collaborate with the communications and design teams to ensure materials are visually appealing and align with campaign messaging.

Tracking Campaign Progress

  • Maintain records of campaign performance metrics, tracking the status and success of all fundraising activities.
  • Support the preparation of regular campaign reports for internal and external stakeholders.

Tracking Asks and Timing of Asks

  • Maintain a detailed schedule of donor asks and follow-up actions, ensuring that all solicitations occur on time.
  • Coordinate with CDO, CEO and others, as appropriate, to prepare for donor meetings and manage follow-up activities post-ask.

Campaign Process Management

  • Ensure smooth workflows by coordinating with the Fund Development team and vendors involved in the campaign.
  • Troubleshoot logistical issues and streamline campaign processes for efficiency.

Campaign Donor Event Coordination

  • Plan and coordinate donor events, including managing event timelines, communications, and vendor relationships.
  • Handle event logistics, from invitations and RSVPs to event setup and follow-up communications.

Term Duration:

  • 2 years with opportunity to renew depending on the needs and success of the campaign.

Qualifications

  • Bachelor’s degree in business, nonprofit management, communications, or a related field preferred.
  • Experience in fundraising, project management, event coordination, or a similar role, preferably within a nonprofit or philanthropic setting.
  • Exceptional organizational skills with strong attention to detail.
  • Proficiency in CRM software and project management tools is a plus.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.

  • Attendance is an essential job requirement defined as having regular, consistent, reliable, punctual and predictable attendance including the ability to work regular hours and shifts, before and after hours, and on weekends, when required.

  • Proficiency in CRM systems, preferably Donor Perfect

Willingness to work a flexible schedule including evenings and weekends
