SCOPE OF RESPONSIBILITY: The Payroll Administrator is responsible for implementing key payroll functions for Wellnest.
The Payroll Administrator is responsible for payroll processing, calculating and maintaining payroll records, and running monthly reports.
ESSENTIAL FUNCTIONS
• Implements, maintains and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions.
• Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
• Ensures accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.
• Calculates payable hours, stipends, bonuses, tax withholdings, and deductions.
• Manages Paycom, our electronic payroll and timekeeping system, to keep track of pay periods, hourly wages, salaries, overtime, sick days, and other employee paid time off benefits.
• Responsible for managing employee pay data, ensuring accurate timecards, following up on timecard corrections, and making payments on time.
• Prepares reports, including Tax and Wage Withholding Reports, Employee Change Reports, and Accrual Reports, for semi-monthly, quarterly, and yearly reviews.
• Makes sure all account balances are accurate and up to date.
• Manages incoming and outgoing W-2 forms to comply with tax season deadlines.
• Reviews and resolve any payroll, 401K, or other discrepancies that may arise within your purview.
• Manages all payroll-related procedures, including new hire processing, recording manual checks, and corresponding with Paycom Specialist to void, reverse, and adjust payroll as needed.
• Prepares and maintains accurate records and reports of payroll transactions.
• Processes Pay Period Payroll Journal Vouchers.
• Maintains and updates current employee list, tracking temps, part-timers, resignations, and terminations.
• Maintains excellent communication skills with employees across the company by providing information and answering employee questions about payroll-related matters.
• Facilitates audits by providing records and documentation to auditors.
• Identifies and recommends updates to payroll processing software, systems, and procedures
• Performs other duties as assigned.
QUALIFICATIONS
Education and Experience:
• Bachelor's degree in Accounting, Business Administration, or a related field from an accredited college or university with at least three (3) years of professional work experience; OR a High School Diploma or GED with a minimum of five (5) years of professional work experience.
Certificates, Licenses and Registrations:
• Must possess and maintain a valid CA driver’s license and insurable driving record.

• Familiarity with CA wage and hour laws, projected and reconciled payroll principles, accrual procedures, and accounting journal entries.
• Experience with Paycom or other mainstream payroll systems that would have provided the working knowledge to successfully administer a payroll system.
• Advanced proficiency with Microsoft Office suite (i.e., Outlook, Excel (VLookup and pivot tables) and general ability to adapt to new technology systems and applications.
• Excellent communication skills with an ability to communicate information in a way that is easy to understand.
• Customer service oriented with a strong desire to provide quality service.
• Strong interpersonal skills with the ability to build and cultivate relationships to work effectively with various stakeholders.
• Proven ability to work independently and well under pressure.
CONDITIONS OF EMPLOYMENT:
Employee must be able to work closely and effectively with Service Providers, Management Team, clients and their families. In keeping with Company policy for all employees, the successful applicant must also complete a test for TB, and fingerprint clearance by the Department of Justice.
WORKING CONDITIONS:
Employee regularly works in an office environment and comes in direct contact with Wellnest staff, clients and the public.
