SUMMARY: The surgery scheduler position provides professional scheduling, assists the physicians, as well as working with other clinical personnel, patients and visitors, and fellow employees. This position is required to monitor, coordinate and evaluate multiple physicians’ surgery schedules. Also, this position requires interaction with patients, medical professionals and additional teams, both within Heritage Medical Associates and outside facilities, to ensure prompt and responsive information. Candidates should have the ability to comprehend established office routines and policies, learn quickly from oral and written instructions, be knowledgeable of medical terminology, understand the ethics of confidentiality and can effectively act as a liaison between patients and physicians.
ESSENTIAL DUTIES AND RESPONSIBLITIES (list no more than 10, no item should be less than 10% of overall duties)
- Receive patient message from physician with requesting procedure
- Contact the patient to discuss available dates and times
- If an assisting physician is required, be sure to check their schedule as well. If any patients are bumped, you will be responsible for rescheduling.
- Pre-Operative Duties include but are not limited to:
- Schedule pre-admissions testing at the hospital and pre-operative appointments in the office
- Confirm with the patient the location and time of procedure as well as mail a map w/ instructions
- Answer any questions a patient may have related to the surgery (driver requirements, nothing to eat or drink, length of stay)
- If a medical clearance is needed, obtain the clearance letter from physician handling that particular medical diagnosis. Ensure the clearance letter is in the patient’s chart prior to the surgery.
- Operative Duties
- Schedule surgery w/ patient, hospital and the physician’s schedule
- If a request has been placed for a requesting physician, place on their schedule as well.
- Verify insurance benefits and authorization requirements via telephone or online (when applicable)
- Notify the ordering physician about the status of the procedure
- Obtain orders and or FIN number to be submitted to the facility
- Send Pre-verification Form to the business office for processing
- Post-Operative Duties
- Ensure patient maintains their follow-up appointment
- Document all necessary information in the patient’s chart
- Communicate w/ the physicians to ensure their needs as well as patients’ needs are being met
- Answer incoming telephone calls; handle patient concerns as appropriate or route to appropriate personnel
- Schedule appointments according to doctor’s instructions and/or template
