Job Summary

The Department Manager is a member of administration and reports to the Director of Clinic Operations. The Department Manager for the Women’s Center is responsible for managing the clinic operations of multiple physician practices and the full scope of women’s health services including obstetrics, gynecology, and urogynecology.  

The Department Manager may fill in for other managers during absences or in emergent situations and may exceptionally be in staffing.  

Responsibilities (include, but not limited to)

  • Serves as the primary contact for physicians, providers and staff
  • Acts as a liaison between clinic personnel and administration and vendors
  • Receives and professionally resolves patient issues and/or concerns in a timely manner
  • Oversees staff and ensures the various clinics’ staffing needs are met
  • Accurately maintains time and attendance records and keeps overtime usage to a minimum
  • Participates in the selection process for open positions and with support from the Education and Training team and Human Resources, facilitates new hire onboarding
  • Oversees specialty specific education and training of staff, including procedure training  
  • Ensures established workflows are followed
  • Ensures adherence to established workflows and develops department specific procedures in collaboration with the Director of Clinic Operations and Nursing Director
  • Establishes and analyzes department metrics to identify opportunities for improvement and works collaboratively with senior leadership to promote quality patient care and financial stability (e.g. optimizing clinic and surgery scheduling)
  • Monitors staff performance and conducts performance evaluations and competency checks as required
  • Oversees compliance with all established HMA policies and procedures
  • Collaborates with Human Resources to promptly address disciplinary issues of direct reports as needed
  • Conducts regular huddles and staff meetings
  • Ensures clinic supply and equipment inventory are maintained and coordinates with the Purchasing Department to order supplies and equipment as needed and verifies receipt of goods
  • Creates and maintains provider coverage schedule
  • Participates in onboarding of new physicians or providers with a focus on clinic set up, staffing, and physician and provider needs
  • Works collaboratively with the Practice Development team to maintain physician and provider templates and internal and external communications
  • Works collaboratively with Information Services to ensure technology systems are functioning properly  
  • Attends required leadership development and training sessions

 

 

Qualifications

Knowledge, Skills, Qualifications, and Abilities

  • Strong leadership and organizational skills
  • Excellent oral and written communication skills
  • General understanding of the overall operations of a physician owned practice
  • Ability to collaborate cross-departmentally and effectively interface with staff, providers and senior leaders
  • Ability to work in a fast-paced work environment subject to change
  • Demonstrated proficiency in Electronic Health Record (EHR) and Microsoft Office products

Job Requirements

  • Graduate of an accredited school of nursing with a current state license to practice as a Registered Nurse (RN)
  • A minimum of 3 years of management experience in a clinic or hospital setting is required; prior experience in women’s health is preferred
  • Current Basic Life Support (BLS) certification

Physical Demands and Work Environment

  • Must be able to stand for 8 to 10 hours a day
  • Requires regular walking, bending, pushing, pulling and lifting
  • Must be able to lift at least 30 lbs
  • Must be able to assist patients with transfers from chair to wheelchair, to exam tables, and back to wheelchair/chair
  • Must be able to assist patient with turning/positioning on exam table
  • Must be able to push patient in wheelchair
  • Must be able to manipulate objects—reaching, grasping, handling
  • Must exhibit good communication skills—understand, respond and translate into action
  • Ability to delineate between numeric numbers
  • Clinical setting; exposure to communicable diseases, bloodborne pathogens, medical preparations and other conditions common to a clinical environment.
