We are seeking a skilled and dedicated Flight Services Advisor to join our Flight Services team and support our ongoing mission of excellence.

Position Summary:
The Flight Services Advisor (FSA) is responsible for providing personalized attention and tailored solutions to meet the unique needs of the aircraft owners and assigned crew members. The Flight Services team works closely with clients to ensure a seamless experience coordinating flights and manages all functions in the day-to-day service and operational activities of their assigned accounts. This role is highly focused on effective and clear communications with all parties involved with the aircraft in a timely and professional manner. 

Essential Duties and Responsibilities:

  • Receives and quickly responds to flight details from owners, assistants, sales, and flight crew to create trips based on those trip requests.
  • Arrange and re-confirm all client and flight crew trip-related services and concierge requests from clients and flight crew.
  • Proactively research planned and tentatively planned trip operational requirements in partnership with the flight crew to eliminate potential trip interruptions.
  • Proactively communicates concerns and potential trip interruptions and the available solutions to all trip stakeholders.
  • Facilitate all operational feasibility checks and pre-planning checklists and manage all aspects of international trip planning, including compliance with company and FAR 135 / 91 processes and procedures.
  • Provide flight following oversight and communicate to all trip stakeholders.
  • Review all post-flight data for accuracy and submission to the finance system.
  • Follows, supports, and promotes the goals and objectives of the company's Safety Management System and Quality Management System.
  • Collaborates with Owner Services to understand new and changing account requirements and meets with flight crews and aircraft owners as necessary in collaboration with Owner Services.
  • Partners with the flight crew and the assigned Aviation Service Managers to ensure compliance with all company policies and procedures including pilot scheduling.
  • Assists the Aviation Service Manager in maintaining proper flight crew coverage and will source/secure qualified contract crew members to meet scheduling needs.
  • Works with Charter Sales to facilitate prompt communication with owner and flight crew charter trip approvals.
  • Will be available for after-hours and weekend communications for other FSA team members in addition to after-hours and weekend monitoring of client communications to support the after-hours and on-call FSA team.
  • Communicates in a friendly and positive, solution-oriented style focused on successful outcomes.
  • Makes quick decisions and collaborates with other account stakeholders, working efficiently and effectively in a high-stress, dynamic environment.
  • Monitors the status of all planned flights and flights in progress from the point of origin to destination (flight following).
  • Ensures all necessary services, including ground handling, deicing, fuel, landing/departure slots, and landing/overfly permits, are in order before releasing a flight. 
  • Identifies, anticipates, and takes corrective action to minimize actual/potential delays due to scheduling operations, crew legality, and maintenance issues. 
  • Advises appropriate personnel of potential/actual delays and conditions affecting the safety of flight. 
  • Responsible for crew logistics, including arranging/coordinating crew ground transportation and hotel accommodations. 
  • Review, prepare, and submit post-flight expense reports. 
  • Responsible for passenger logistics, ensuring passenger ground transportation, catering, and other requests are arranged and onsite in advance of departure/arrival.
  • FBO selection and database upkeep, coordinate catering requirements and other passenger requirements with the FBO. 
  • Ensure that flights are authorized and dispatched according to GJP Aviation’s policies, regulatory requirements, and client requests. 
  • Maintains a focus on safety, efficiency, and regulatory-compliant practices. 
  • Perform other duties as assigned.

Qualifications

Required or Preferred Qualifications:

  • Minimum of five years of Business Aviation, Part 135 included, scheduling experience to include international operations.
  • FAA Aircraft Dispatchers License – preferred.
  • Aviation Scheduling Software experience – FL3XX experience preferred.
  • Ability to work a flexible schedule that includes participation in an on-call rotation.
  • Proficient in Office 365, working across all Microsoft products.
  • Strong oral and written communication.
  • Exceptional prioritization skills.
  • Exhibits careful attention to detail to achieve excellence in client service.

Minimum Technical Qualifications:

  • Expert knowledge of aircraft operating limitations and the ability to quickly learn new airframe operating parameters.
  • Expert knowledge of domestic and international travel requirements.
     

This is an exempt position that requires flexibility to meet the demands of business.
