We are hiring a Project Analyst to assist our Vertical Transportation and Logistics team. The ideal candidate will have previous experience in project coordination, working with accounting software, and be comfortable completing collections. The Project Analyst will serve in support of projects and perform office tasks that support the needs of the Regional Managers, Senior Consultants/Consultants, Field Technicians, and Servicing Clients. What You’ll Do:

 

 

The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict management’s assignments.

 

  • Prepare and send project invoices per the client’s detailed billing term requirements
  • Act as a liaison with the client to verify billing terms, additional project items, and additional important information
  • Work with the project consultants to ensure timely project billings, maintain well-organized project files and accurate billing records
  •  Analyze the status of past-due accounts weekly and follow up on past-due accounts
  • Maintain accurate electronic records of collection attempts and escalate necessary cases to management
  • Meet minimum goals for collections in the area which are reviewed quarterly
  • Complete necessary project reporting in a timely manner to RM and/or BM, as requested
  • Assist Consultants with electronic expense reports, as needed
  • Ensure the accuracy and proper adjustment for discounts, refunds, or payments received
  • Aid Regional Managers, Consultants, Clients, and Vendors in making/receiving calls, message relay, and coordination between project managers/consultants and clients in A/R actions
  • Process accounts payable for the office
  • Adhere to all company policies, procedures, and business ethics codes and ensure that they are communicated and implemented within the team
  • Maintain U.S. Mail and express courier services for the office
  • Order office supplies, when necessary
  • Perform routine office filing in compliance with retention policies

 

 

 

What You’ll Bring:

 

 

  • High School Diploma or equivalent
  • 3 or more years of previous, applicable experience
  • Intermediate skills using accounting software, Microsoft Office (Excel, Word, SharePoint, PowerPoint, etc.), MS Outlook, and web-based applications and databases
  • Knowledge of the full scope of duties of the Project Coordinator
  • An ability to accomplish work activities and coordinate or lead employees and subcontractors among different levels of the organization
  • An ability to assume responsibility for work outcomes and results of other workers
  • An ability to work independently in a fast-paced environment.
  • Excellent attention to detail and organizational skills
  • An ability work on many different projects at one time
  • An ability to build relationships and be a self-starter
  • Excellent written and verbal communication skills
  • An ability to coordinate own and others’ actions
