POSITION TITLE: EHR Application Specialist/Trainer

STATUS: Non-exempt; Full time

REPORTS TO: HIT Systems Analyst

SUPERVISES: None

DEPARTMENT: IT/IM

UNIT: None

OFFICIAL DUTY STATION: Hybrid/Administrative Office (4216 Fountain Ave, Los Angeles, CA 90029)

 

SUMMARY:

The EHR Application Specialist/Trainer, under the direction of the HIT Systems Analyst, provides application support for NextGen Healthcare software (EPM, EHR, etc.) and its related systems. The EHR Application Specialist/Trainer also serves as a NextGen Liaison and provides training on these systems.

The EHR Application Specialist/Trainer will work closely with QI/HIM Program Coordinator on shared duties, such as new hire orientation and providing application support.

DUTIES AND RESPONSIBILITIES:

  1. Training Delivery and Development
    1. Conduct NextGen application training as part of the new hire orientation.
    2. Conduct training for existing staff on NextGen workflows.
    3. Deliver training for group sessions and one-on-one sessions.
    4. Develop training curriculum for new hire orientation in collaboration with HIT Systems Analyst and update curriculum whenever there are changes.
    5. Develop materials to assess staff understanding of orientation and training, including but not limited to quizzes and follow-up training sessions.
    6. Document formal workflows, for NextGen EPM/EHR and related systems, to incorporate them into the training curriculum.
    7. Ensure training curriculum, training materials, and reference materials reflect current workflows.
  2. Workflow Optimization
    1. Regularly review EHR application workflows with HIT Systems Analyst and work together to optimize workflows.
    2. Work with QI/HIM Program Coordinator and HIT Systems Analyst to identify and troubleshoot workflow issues.
  3. NextGen EHR Application Support
    1. Provide tier 1 level support and end-user training assistance for EHR and all related applications, including but not limited to NextGen EHR, PM, and DM (formerly ICS). Resolve issues or escalate application issues to HIT Systems Analyst or vendor as necessary.
    2. Manage NextGen tickets in NextGen ticket system and APHCV Helpdesk system. Assist in development of policies and procedures related to EHR.
    3. Escalate tickets to HIT Systems Analyst and/or IT/IM Director appropriately.
  4. Systems Upgrade/Maintenance
    1. Assist with testing to verify that upgrades/updates are successful. Follow testing plan as directed by HIT Systems Analyst. Work with other departments as needed
    2. Test and document the implementation of software modules/add-ons that enhances application functionalities and user’s experience on NextGen or other applicable software. Under the direction of HIT Systems Analyst, the EHR Application Specialist/Trainer will work with vendors and other APHCV staff to perform this duty.
    3. Perform NextGen activity audits and NextGen user access audits.
  5. Attend necessary training, conferences, webinars and meetings as directed by HIT Systems Analyst and/or IT/IM Director
  6. Perform other related duties as assigned.

 

Performance Expectations:

  1. Provide timely support for NextGen applications and related systems - meet expected measures and timelines of support response time
  2. Train employees on NextGen applications
  3. Work with QI/HIM Program Coordinator and HIT Systems Analyst to maintain documentation of workflows, processes, customizations and changes; maintain up to date training curriculum and materials
  4. Abide by all APHCV, ITIM Department and EHR related Polices and Procedure including but not limited to HIPAA Policies and Procedures, Confidentiality Policies and Procedures, etc.

 

 

Qualifications

Experience

  1. Bachelor's degree or equivalent work experience required
  2. Experience conducting training or providing support for EHR in a healthcare setting preferred (experience with NextGen EHR strongly preferred)

HR Procedural requirements:

  • Legal authorization to work in the United States
  • A valid Government issued photo ID
  • Completion of APHCV Health Assessment Form
  • Completion of DOJ background check

 

PHYSICAL REQUIREMENTS:
