JOB STATEMENT
Alley Theatre is seeking a detail-oriented and organized administrative assistant reporting to the chief Development Officer.
JOB DUTIES
- Coordinates meetings, prepares agendas and reports which include weekly team meetings and agendas, weekly leadership meeting reports, Board and Advisory Board reports.
- Communicates with donors and patrons via phone calls or emails.
- Creates reports, research/analyzes data as requested.
- Facilitates donor special occasion mailings.
- Accept and manage RSVPs for fundraising events.
- Assists with day-to-day logistical and administrative needs.
- Prepares donor room schedule and distributes to development staff.
- Prepares and circulates weekly development calendar to staff.
- Prepares and submits monthly expense reports.
- Circulates Playbill in a timely manner to development staff for proofing.
- When needed, inputs gift dad and generates acknowledgement letters.
- Uses discretion as job involves exposure to confidential information.
- Acts as administrative support for the Chief Development Officer.
- Works with marketing department to maintain Alley Development web pages.
- Other duties as requested by the Director of Development.
