POSITION: Executive Assistant to the Provost

REPORTS TO: Provost

STATUS: Full-time, Exempt

SALARY: $72,000 - $82,000 / annual

 

THE OPPORTUNITY:

You will be a trusted partner to the Chief Academic Officer (Provost), providing high-level support and ensuring smooth execution of their priorities across our university’s academic programs and student support services. You will manage their calendar, anticipate needs, and navigate a demanding academic operational schedule. In partnership with a strong EA team, you'll manage the logistics of events and projects and ensure the smooth execution of staff and board meetings.

As a key liaison to the Academic Leadership Team, you'll foster communication and collaboration. Your initiative and problem-solving skills will be essential in supporting the Provost’s interactions with the Deans, Cabinet, students and their families, and the Board of Trustees. Your work will contribute to our mission of changing lives and communities by delivering accessible, innovative education to working professionals. What You'll Do

  • Deliver excellence in all foundational EA tasks – calendar management, email management, travel, expenses, budget review, and office administration.
  • Be an important bridge between the Provost and their team, quickly building trusted relationships while maintaining confidentiality and handling the occasional sensitive personnel issue.
  • Participate in meetings, take minutes, and lead action items.
  • Partner with the Provost to manage their time and ensure that they are well prepared for all meetings.
  • Research, draft, and edit high-quality presentations, correspondence, documents, policy statements, handbooks, the University Catalog, and widespread communications, ensuring accuracy and clarity.
  • Work on frequent and diverse projects and problems requiring judgment and discretion for obtaining solutions within generally defined practices and policies. These projects may range from accreditation reviews to grant proposals to event planning and more.
  • Partner with your peers to coordinate University-wide events, such as Commencement.
  • Maintain strict confidentiality, as appropriate, regarding all information related to the university, strategic initiatives, and our students.
  • Manage logistics for events/projects including staff retreats and board meetings (venue contracts, reimbursements, etc.)
  • Perform other duties as assigned.

What You'll Bring

  • You have 5+ years of demonstrated experience in an executive assistant role, supporting senior leaders.
  • You play as a team. You have a deep sense of TEAM and can easily partner with other staff to achieve larger objectives
  • You’re a strategic partner. You have successfully supported senior leaders in higher education or related industries. You’ve also had experience with organizations undergoing significant change. You enjoy the chance to create systems and processes, and to enhance them further over time.
  • You can run with direction and make judgment calls based on data and experience. You’re a high performer and keen to drive impact. You have experience managing conflicting priorities and prioritizing demands, you focus on solutions, and are comfortable navigating change while tactfully addressing obstacles and resolving issues.
  • You learn quickly and enjoy identifying ways to improve processes. You are proficient in a range of Office applications including Word, Outlook, Excel, PowerPoint, OneDrive, Forms, SharePoint, and Teams, as well as Adobe Acrobat and Zoom and are open to exploring other tools and resources.
  • You have excellent communication and interpersonal skills. You have the ability to interact professionally with diverse groups of people at all levels of staff, both internally and externally. You are a good listener and are open to giving and receiving feedback for continuous improvement.
