Pierce County's first Certified Community Behavioral Health Clinic:

Comprehensive Life Resources is seeking an energetic, team player to provide Customer Service Specialist in our busy outpatient behavioral health clinic in Tacoma WA.

Function:  Provide service coordination and support to consumers accessing services.  Engage with individuals seeking services, obtain necessary information for enrollment, and connect them with intake staff to complete assessment. Serves as a member of an organization that welcomes, engages, and serves individuals with complex wellness needs.

 

Responsibilities:

  • Greet consumers.  This includes checking in for appointments, managing payments with appropriate documentation, offering popcorn, and managing the lobby areas.
  • Manage centralized scheduling for clinicians and interns.  This includes inputting schedules, managing schedules in order to provide maximum efficiency for clinicians, creating and maintaining same day appointment slots, and completing scheduling reminder calls. 
  • Complete all administrative functions of enrollment that at minimum include- verify financial eligibility, collect demographic in for, administer clinical screenings when necessary, and complete vital signs.
  • Manage a multi-line phone system.  This includes answering the phone promptly and assisting consumers with questions. 
  • Verify demographic and insurance information for consumers that are checking in for appointments.  Update this information in the agency database by end of business day.
  • Keep the lobby areas organized and clean at all times.
  • Ensure clients are seen within 24 hours of the request for services and ideally same day.
  • Be able to interact with consumers presenting with multiple challenges in a patient and caring manner.  The ability to develop rapport with consumers in order to create a feeling of welcome and safety in our building is a plus.
  • Work alongside the intake team whose goal is to serve with no barriers. Support in providing warm hand off to the intake staff.
  • Be part of a Customer Service Team that works together collectively to provide high quality service to our consumers and support our philosophy of serving “anyone, anytime, anywhere”.  This includes participation in team meetings, contributing ideas and feedback with a focus on problem solving.
  • Coordinate work with internal customers. Interact with agency staff, consumers, and community.
  • Assist in orienting new clinical program staff to the front office processes.
  • Maintain confidentiality in all work.
  • Ensure that ethical and professional standards of practice are maintained.
  • In addition to the above, perform other duties as assigned.

 

Qualifications:

  • One year experience working in a medical office or similar setting that includes experience with centralized scheduling and a multi-line phone system.
  • Strong computer skills that include internet navigation, Office 365, computer-based phone system, and data base entry.
  • Able to interact with consumers presenting with multiple challenges in a patient and caring manner.
