Chapter Relations 

Position Summary:


The Chapter Relations Specialist is responsible for supporting the development, administration, and engagement of local chapters across designated regions. This role works closely with internal teams and external stakeholders to foster community partnerships, streamline chapter operations, and enhance volunteer support.


Key Responsibilities:

Chapter Development (15%)

  • Educate local businesses, groups, and organizations to develop community awareness through proactive outreach.

  • Develop strategic community partnerships.

  • Research and implement creation of new chapters in target markets.

  • Develop and train volunteer boards.

  • Arrange and coordinate VIP tours and programs.

Chapter Engagement & Support

  • Coordinate and arrange VIP tours.

Chapter Administration (20%)

  • Provide operational and administrative support to chapters across assigned regions, including:

    • Collaborating with Finance on chapter budget creation.

    • Preparing board reports for National Board.

    • Coordinating with MarCom on:

      • Requests for Founder’s messages and thank-you letters.

      • Chapter websites.

      • Media releases for chapters.

    • Submitting contracts to headquarters.

    • Submitting volunteer surveys and chapter reports.

    • Tracking chapter newsletters and meeting minutes.

    • Responding to daily volunteer/chapter information requests.

    • Maintaining and distributing up-to-date rosters.

    • Approving invitations, flyers, and program books per invitation guide.

    • Mailing/emailing literature for chapters.

    • Receiving and processing inquiries and forwarding to relevant staff.

    • Attending VRCC meetings.

    • Providing resources to chapters and vendors.

    • Providing clerical support to chapters (e.g., sponsorships, donations, and form completions).

    • Creating and maintaining a supply of documents for new member packets.

    • Conducting annual reviews of chapter by-laws.

Miscellaneous Duties (5%)

  • Coordinate with internal/external resources, 3rd party events, and social media.

  • Support Special Events Team as needed.

Qualifications

  • Excellent verbal, written, and listening communication skills.
  • Strong public speaking and presentation skills.
  • Strong organization and time management skills with the ability to manage multiple projects.
  • Ability to thrive in high-pressure situations.
  • Excellent interpersonal and collaboration skills.
  • Proficient in a Windows environment, including use of MS Office (Word, Excel, PowerPoint).
  • Proficient in the use of donor management systems, including OneCause and Raiser’s Edge.
