Position Summary
The Executive Assistant to the CEO / Board Liaison provides executive support to an influential CEO and acts as a key liaison with GSGLA’s Board of Directors. This role is ideal for an experienced professional who is highly organized, proactive, thrives in a fast-paced environment, can anticipate needs, and ensures seamless executive operations. Working with the CEO, the board, and the executive team, the liaison has a 360-view of the information flow between staff and board members, thus helping the CEO ensure that things run smoothly.
Essential Duties & Responsibilities
Executive Support to CEO
- Serve as a trusted gatekeeper, managing the CEO’s complex calendar, scheduling high-level meetings, and coordinating travel logistics.
- Prepare briefing materials, presentations, and reports for CEO meetings and public engagements.
- Ensure all internal and external communications are handled professionally, confidentially, and with urgency.
- Draft, edit, and proofread executive correspondence and documentation.
- Represent the CEO’s office with professionalism in all interactions.
- Track department budgets and prepare timely expense reports.
- Assist in planning high-profile organizational events and CEO-led initiatives.
- Occasionally attend off-site GSGLA events and activities.
- Collaborate with other executive assistants and administrative staff.
- Other duties and special projects as assigned.
Board Liaison & Governance
The board liaison provides a vital link between the CEO and the board by handling all administrative duties of the board, including:
- Facilitate Board Communication - Act as the primary point of contact between the Board of Directors and organizational leadership, ensuring timely and accurate flow of information.
- Coordinate Board Meetings - Schedule, organize, and prepare materials for board meetings, including drafting agendas, compiling reports, distributing meeting packets, creating PowerPoint presentations, etc.
- Document and Maintain Records - Record minutes of board and committee meetings; maintain official documentation, records, and policies.
- Support Board Committees - Provide administrative support to board committees and task forces, including maintaining committee rosters, scheduling meetings, distributing materials, and tracking action items.
- Assist with Board Recruitment and Onboarding - Support the recruitment, nomination, and onboarding process for new board members, including orientation sessions and materials.
- Monitor Compliance and Governance Standards - Help ensure the board operates in compliance with the organization's bylaws, governance policies, and applicable laws and regulations.
- Manage Board Communications and Engagement - Coordinate regular communication such as updates and invitations to organizational events to keep board members informed and engaged.
- Coordinate Special Board Events - Organize retreats, recognition events, training, and other special gatherings for the Board of Directors.
- Track Board Member Contributions - Maintain records of board member participation, attendance, and volunteer engagement to support organizational transparency and accountability.
- Provide Strategic Administrative Support - Assist the Board Chair and CEO/Executive Director with special projects, research, and strategic initiatives related to board governance and leadership development.
