Description

The General Clerk I position is a service contract for the Railroad Retirement Board and focused on providing a client-centered approach in receiving mail, sorting, scanning, and preparing the documents for transmission in the Railroad computer system.   This position is a service contract position for the Railroad Retirement Board and reports up to the Business Services Manager and assisted by the RRB Scanning Lead.

The General Clerk I must set a good example and constantly demonstrate the Light (LIGHT) Principles of Leadership, Integrity, Growth, Humility and Trust.  It is important for individuals to be committed to a continuous learning environment and a champion for change, with a teamwork mentality,

Roles and Responsibilities:

  • Follows all safety protocols and guidelines for promoting a safe work environment and apply good day to day housekeeping of work area.
  • Receives incoming mail designated for the Railroad Retirement Board and scans all pertinent information as needed.
  • Converts all hard copy correspondence by paper and placing the information into the appropriate client’s digital folder.
  • Ensures documents are prioritized to be scanned and based on the railroad guidelines and procedures.
  • Ensure information is integrated into the database through personal computer scanning hardware and software.
  • Accurately index documents in a timely manner.
  • Assist with general administrative and clerical tasks as needed to fulfill job duties.
  • Respond to general emails from other departments.
  • Verifies that all images are clear and index for making any corrections if needed.
  • Makes proper disposition of documents when established records are unavailable.
  • Requires unboxing, sorting, and stamping documents with incoming dates.
  • Assists customers with any concerns or issues and ensures all customer concerns have been addressed and resolved.
  • Applies the principles and values of customer service and continuous quality improvement while performing day to day work activities.
  • Maintains positive working relationships and fosters cooperative work environment.
  • Follows all confidentiality rules to preserve data quality and reduce chance for information or compromise.
  • During downtime assist other departments within the organization with overflow workloads.
  • Perform other related job duties as needed.

 

Qualifications

Education, Licensure and Experience:

  • High school diploma or GED
  • Prior scanning knowledge preferred but not required.
  • Government clearance and federal credentials are required and can apply through organization.

 

Knowledge Skills and Abilities

  • Strong level of confidentiality due to sensitivity of materials and information needed.
  • Good computer skills and able to adapt to different software such as Microsoft Outlook email client and Microsoft Word text processor.
  • Ability and flexibility in using customer computer system and able to use Microsoft office software for email and other communication.
  • Good analytical skills with ability to analyze data for ensuring information on data is correct before submitting to customer.
  • Ability to research and look up pertinent patient/client information using software and programs provided by the customer.
  • Good communication skills and ability to communicate with other team members as needed to ensure the accuracy of mail processing.
  • Good professional skills and able to deal with people from a variety of backgrounds with varying levels of understanding.
  • High multi-tasking and organizational skills, time-management, and attention to detail.
  • Maintain a clean and neat work environment and adhere to all safety guidelines of the company and the customer.
  • Ability to use computer, printer, scanner, telephone, and use of assistive technology such as Zoom Text, Jaws, or other Blind/Low Vision assistive technology aids.
  • Able to work under pressure, meet deadlines, adapt to fast-paced work conditions and changes and expectations of the clients.

 

Supervisory Responsibilities:

  • This position has no supervisory responsibilities.

The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities.

  • This position requires prolonged periods of sitting and frequent use of the computer for keyboarding and data entry.  This position may also require some lifting of boxes of 10 to 40 pounds.  Lifting assistance can be provided for boxes greater than 50 pounds.
