Job Title:  Membership Representative 1 

Department:  Member Experience 

Classification:  Non-exempt, part time 

Job Grade:

Pay Rate: $14.70 per hour 

Reports To: Senior Manager of Membership

Shifts: Weekday and Weekend Afternoons (11am -6:30pm) and Weekend Mornings (5:30am - 12pm)

 
* The Membership Representative 1 position is the first step on a career pathway that is supported with in-depth training and development opportunities. Staff can progress to Membership Representative 2, Membership Representative 3 and further as positions become available. At each step, employees achieve milestones and acquire valuable career skillsets for their resumes, as well as increased compensation rates.

Position Summary  
 
This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Membership Representative at the Eugene Family YMCA maintains a supportive, positive atmosphere that welcomes and respects all individuals. This position is a front-facing member service position stationed at one of our Welcome Centers (Don Stathos Campus and Tennis & Pickleball Center.) They play a critical role as the first impression of our Y, engaging every individual who calls, emails or walks through our doors embodying our core values and the Y voice, so everyone feels welcome and a sense of belonging. 

  

Essential Functions  

  • Provides excellent service to members, guests, and program participants in the Y and on the phone, contributing to overall member retention.   

  • Maintains cleanliness and assists in the organization of the Welcome Center, Tennis & Pickleball Center office and general lobby areas.  

  • Serves others by intentionally welcoming, connecting, and supporting members and guests, and inviting them to get involved in the Y experience  

  • Promotes a positive environment that fosters fun, safety, inclusion and our YMCA policies and values; applies all YMCA policies when dealing with member and program services  

  • Develops and maintains positive relationships with volunteers and members and helps members connect with one another and the Y.  

  • Conducts interviews and/or tours with a cause-driven purpose and is responsive to the needs of prospective members.  

  • Arrives with ample time to report to position at the scheduled shifts  

  • Ensures accurate and timely records of working hours so that accurate payment can be made  

  • Acknowledges and fulfills commitments to scheduled shifts. Notifies a supervisor personally and in a timely manner if unable to meet commitments - this includes illness and extenuating circumstances; arranges for substitutes for shift coverage when needed  

  • Opens or closes facility as scheduled, following Standard Operating Procedures.  

  • Presents accurate membership information to potential and existing members. Explains the benefits of YMCA membership and provides accurate information regarding pricing and payment options as well as YMCA programs and activities.  

  • Sells memberships and programs - this is typically in response to inquiries, phone calls, or individuals coming into our Y to learn more about memberships (member benefits and overall cost) and programs (start dates, ages, expectations); may rely on more senior staff to provide detailed or complex information about the different memberships and programs offered.  

  • Utilizes the DAXKO, GroupExPro and CourtReserve systems for membership and program registration and management, to ensure effective and efficient service for our members.  

  • Executes basic data entry, ensuring accuracy by proofing all work.   

  • Manages a cash box during shifts, completes a shift close-out at the end of the day, handles cash, and general sales of goods and services to members (ex: coffee, towels, tennis balls and pickleballs, merchandise, fees).  

  • Captures and communicates account billing issues, refund requests and financial aid information to supervisors for resolution.   

  • Monitors building and facility usage, ensuring building security by conducting periodic walk throughs. Alerts senior staff if there is a rule violation, behavior incident, safety concern or cleanliness issue.  

  • Regularly provides members with towels for member use.  

  • Immediately informs more senior staff of unusual situations or unresolved issues.  

  • Participates in staff meetings and trainings as required  

  • Assists other staff as needed and participates in special events as necessary  

  • Other duties as assigned.

  • While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device  

  • The employee frequently is required to sit and reach, and must be able to move around the work environment  

  • Must be able to quickly and efficiently tour and move through the Y, including stairways  

  • The employee must occasionally lift and/or move 25-60 pounds  

  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust  

  • The noise level in the work environment is usually moderate

Qualifications

Minimum Qualifications  

  • Excellent interpersonal and problem-solving skills.  

  

Preferred Qualifications  

  • Previous customer service, sales or related experience.  

  • Intermediate level expertise with computers and software systems, including Microsoft Office applications or databases.  

  • Previous experience working at a YMCA.  

  • Bilingual Spanish skills (verbal)
