SUMMARY OF POSITION RESPONSIBILITIES: The Treatment Team Assignment Specialist is responsible for ensuring that clients are accurately and efficiently assigned to appropriate treatment teams, enabling them to access the necessary services. This role involves maintaining and updating provider assignment sheets, facilitating communication of changes to providers, supporting providers with client assignment processes, and monitoring client transfers between facilities. The specialist will also manage the planning of monthly appointments for prescribers and ensure that clinical assignment sheets remain current and accurate.
SCHEDULED DUTIES AND RESPONSIBILITIES:
- Ensure clients are allocated to appropriate treatment teams to obtain necessary services.
- Maintain and update the provider assignment sheets regularly and communicate any alterations to the providers promptly.
- Provide support to providers in adding or removing clients from their individual assignment sheets.
- Monitor client transfers between facilities, ensuring accurate address and bed number assignments (Buildium vs. Assignment Sheets).
- Update provider caseloads as needed, ensuring all information is current and accurate.
- Notify providers via email of new client assignments and transferred client details.
- Plan the monthly appointments for prescribers, ensuring all active clients are scheduled appropriately.
- Double-check the monthly appointment schedules, ensuring no active client is missed.
- Develop and update the assignment sheets for new providers as they are onboarded.
- Conduct orientation and training sessions for new providers on scheduling processes and assignment sheet management.
- Monitor and compare room vacancy in facilities against existing provider capacity to determine the need for additional providers (weekly).
- Draft and update provider assignment sheets every two weeks.
- Track and ensure the accuracy of client demographics in ICANotes, particularly after transfers, and notify the intake team if discrepancies are found.
- Serve as a liaison between the providers and the operational teams to ensure smooth communication and accurate assignment tracking.
- Send email reminders to PRP about 90792 appointments with the Medical Director and to prescribers and the Clinical Supervisor about upcoming appointments.
- Update the DSP Cat B assignment sheet as needed.
- Schedule Planning for 90791 and H0001 appointments every six months, ensuring schedules align with client needs.
- Schedule 90792 appointments with the Medical Director weekly, ensuring all relevant parties are informed and prepared.
UNSCHEDULED DUTIES AND RESPONSIBILITIES:
- Participate in external and internal audits/surveys (CARF/CSA/OHCQ) as directed by the supervisor.
- Participates in quality assurance and performance improvement plans by completing periodic audits or other activities to ensure regulatory compliance and/or improve service delivery.
- Assist the supervisor, HR, or management with any work-related tasks as requested.
- Responsible for following regulations of COMAR, CARF, any other regulatory body, and company policies/procedures related to your scope of work.
- Co-facilitating orientation of all new hires if requested.
- Support the maintenance of a safe environment by participating in training and drills as requested.
- Advise the supervisor on the development and implementation of protocols to better enhance the efficiency of day to day operations effecting change when approvals are made.
- Troubleshoot and abate any issues that could adversely affect the day-to-day operations.
- Report to the Supervisor daily and as requested. Report deviation of operational standards to CEO daily.
- Check emails and company group texts at least every 30 minutes while on duty; respond accordingly.
PHYSICAL DEMANDS: Regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
