COMPENSATION RANGE: $5.00 per hour

 

WORK SCHEDULE: Tuesday to Friday 8AM - 7PM

 

ACCOUNTABLE TO: Scheduling Department Manager

 

ACCOUNTABLE FOR: CODC, ECM, CRNP, CRNP-F, DSP, CPRS, HHCM

 

ANTICIPATED TRAVEL: 0% of the time

 

SUMMARY OF POSITION RESPONSIBILITIES: The Productivity Monitoring Specialist is responsible for overseeing and ensuring the consistent delivery of services by providers in accordance with client category requirements. This role involves monitoring providers' output, generating productivity reports, and maintaining clear and effective communication with both providers and management to ensure compliance with service delivery standards.

 

SCHEDULED DUTIES AND RESPONSIBILITIES:

  • Monitor providers' service delivery to ensure adherence to the required service frequency based on the client category type.
  • Identify and report instances where providers fail to deliver services, ensuring timely communication with the manager for corrective actions.
  • Maintain accurate records of all correspondence related to productivity issues, including the Productivity Report tracker.
  • Generate and distribute daily, weekly, and monthly productivity reports detailing rendered and scheduled services to relevant stakeholders.
  • Export, clean, and format productivity data, creating pivot tables and using VLOOKUP functions to analyze provider performance.
  • Distribute compliance emails to providers regarding service delivery issues and follow up to ensure necessary corrective actions are taken.
  • Rank providers based on their compliance with required service delivery and share these rankings in weekly and monthly reports.
  • Update productivity sheets to reflect the audit date range (previous week) and filter reports to identify providers who rendered services to clients not assigned to them.
  • Manage and update caseload assignments and productivity summaries for audit purposes, ensuring data accuracy and compliance.
  • Identify and contact providers who have no client encounters or who did not schedule clients in ICANotes for the previous week.
  • Log provider responses regarding lack of service delivery and ensure that follow-ups are documented.
  • Generate and distribute various reports, including:
  • Daily Reports: Psychiatric Nurse Practitioners' end-of-day productivity reports.
  • Weekly Reports: Productivity progress reports, including rankings, for all providers.
  • Monthly Reports: Summary of productivity for the previous month, categorized by provider type.
  • Distribute email blasts to providers who serviced clients not on their caseload or who failed to render services.
  • Maintain records of all email distributions and provider responses, ensuring thorough follow-up.
  • Create and distribute specific reports such as:
  • Prescribers and HH RN Daily Reports: Scheduled vs. Rendered services.
  • Counselor & ECM Weekly Reports: Including productivity rankings and "Did not receive services" email distributions.
  • DSP & CPRS Weekly Reports: Including productivity rankings and rendered but not scheduled services monitoring.

 

UNSCHEDULED DUTIES AND RESPONSIBILITIES:

  • Participate in external and internal audits/surveys (CARF/CSA/OHCQ) as directed by the supervisor.
  • Participates in quality assurance and performance improvement plans by completing periodic audits or other activities to ensure regulatory compliance and/or improve service delivery.
  • Assist the supervisor, HR, or management with any work-related tasks as requested.
  • Responsible for following regulations of COMAR, CARF, any other regulatory body, and company policies/procedures related to your scope of work.
  • Co-facilitating orientation of all new hires if requested.
  • Support the maintenance of a safe environment by participating in training and drills as requested.
  • Advise the supervisor on the development and implementation of protocols to better enhance the efficiency of day-to-day operations effecting change when approvals are made.
  • Troubleshoot and abate any issues that could adversely affect the day-to-day operations.
  • Report to the Supervisor daily and as requested. Report deviation of operational standards to CEO daily.
  • Check emails and company group texts at least every 30 minutes while on duty; respond accordingly.

 

PHYSICAL DEMANDS: Regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.

Qualifications

NECESSARY COMPETENCIES AND SKILLS:

  • Ability to interpret complex data and provide actionable insights.

Preferred Attributes:

  • Experience with productivity monitoring and improvement methodologies.
  • Knowledge of industry-specific productivity metrics and benchmarks.
  • Familiarity with performance management software and systems.

 

NECESSARY EDUCATION / TRAINING / QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Operations Management, Data Analytics, or a related field. Advanced degrees or certifications in data analysis or productivity management are a plus.
  • Minimum of 2 years of experience in a data analysis, performance monitoring, or operations role, with experience in productivity analysis preferred.
