COMPENSATION RANGE: $20.00 per hour

 

WORK SCHEDULE: Monday to Friday from 8AM - 5PM each day

SUMMARY OF POSITION RESPONSIBILITIES: The Medical Receptionist is responsible for front desk operations in a healthcare facility, including greeting patients, scheduling appointments, handling inquiries, managing patient information, and providing general office support. This position requires excellent communication skills, attention to detail, and a professional, compassionate demeanor.

 

SCHEDULED DUTIES AND RESPONSIBILITIES:

  • Patient Reception: Greet patients as they arrive, ensure they sign in, and notify medical staff of patient arrivals.

  • Appointment Scheduling: Schedule, confirm, and manage patient appointments using electronic medical records (EMR) systems.  Collaborate with scheduling department staff as necessary.

  • Answering Calls: Handle incoming calls, answer patient queries, provide information, and route calls to appropriate personnel.

  • Patient Records: Maintain and update patient records, including verifying insurance information and handling intake forms.

  • Insurance Verification: Confirm patient insurance coverage and handle any necessary documentation or verification processes.  Collaborate with prior authorization department staff as necessary.

  • Billing and Payments: Collect copays and payments, issue receipts, and provide billing information to patients.  Collaborate with billing department staff as necessary.

  • Office Coordination: Assist with office supply orders, faxing, scanning, and maintaining a clean and organized reception area and treatment areas.  Collaborate with housekeeping staff as necessary.

  • Patient Assistance: Provide information on the clinic’s services, policies, and procedures, and assist patients with any needs before and after appointments.

  • Collect Specimens:  Collect medically necessary urine and blood samples as ordered by CRNP-F and CRNP-PMH.  Process specimens per protocol.  Enter test results into ICANotes under test results section immediately upon result.

 

UNSCHEDULED DUTIES AND RESPONSIBILITIES:

  • Participate in external and internal audits/surveys (CARF/CSA/OHCQ) as directed by the supervisor.
  • Participates in quality assurance and performance improvement plans by completing periodic audits or other activities to ensure regulatory compliance and/or improve service delivery.
  • Assist the supervisor, HR, or management with any work-related tasks as requested.
  • Responsible for following regulations of COMAR, CARF, any other regulatory body, and company policies/procedures related to your scope of work.
  • Co-facilitating orientation of all new hires if requested.
  • Support the maintenance of a safe environment by participating in training and drills as requested.
  • Advise the supervisor on the development and implementation of protocols to better enhance the efficiency of day-to-day operations effecting change when approvals are made.
  • Troubleshoot and abate any issues that could adversely affect the day-to-day operations.
  • Report to the Supervisor daily and as requested. Report deviation of operational standards to CEO daily.
  • Check emails and company group texts at least every 30 minutes while on duty; respond accordingly.

 

PHYSICAL DEMANDS: Regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.

 

WORKING CONDITIONS: Medical receptionists typically work in doctor’s offices, clinics, hospitals, or other healthcare facilities. They often sit for long periods but may also spend time moving around the office to manage tasks.

Qualifications

NECESSARY EDUCATION / TRAINING / QUALIFICATIONS:

  • Associates degree or equivalent.

  • Licensed Practical Nurse (LPN), or Registered Medical Assistant (RMA) preferred.

  • Proficiency in using office software and EMR systems.

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills.

  • Knowledge of medical terminology and healthcare procedures (preferred but not always required).
