Position Summary

The Assistant Director of Payroll at HeartShare is a key member of the Payroll team, responsible for supporting the Director of Payroll in managing and overseeing payroll operations within the nonprofit organization. Reporting directly to the Director of Payroll, this role plays a vital part in ensuring the accurate and timely processing of payroll for all HeartShare employees while maintaining compliance with applicable regulations.

The Assistant Director of Payroll also supervises a team of three (3) direct reports, providing leadership, guidance, and support to ensure efficient payroll operations. Nonprofit experience is preferred, and proficiency with Paycom payroll software is highly desired.

 

Duties and Responsibilities

PAYROLL PROCESSING SUPPORT

  • Assist in the end-to-end processing of payroll, including data entry, verification, and auditing
  • to ensure accuracy.
  • Collaborate with the Director of Payroll to ensure timely and compliant payroll distribution.
  • Address payroll-related inquiries and resolve issues promptly.

COMPLIANCE AND REGULATIONS

  • Help ensure compliance with federal and state payroll regulations, tax laws, and nonprofitspecific requirements.
  • Stay updated on payroll compliance changes and assist in implementing necessary updates.
  • PAYROLL SOFTWARE EXPERTISE
  • Utilize payroll software to its full potential, including data entry, reporting, and analysis.
  • Troubleshoot and resolve software-related issues in collaboration with the Director of Payroll.

PAYROLL REPORTING

  • Assist in generating payroll-related reports, including tax reports, benefit reports, and financial summaries.
  • Prepare and analyze payroll data to support organizational decision-making.

RECORD-KEEPING

  • Maintain accurate and confidential payroll records, ensuring data integrity.
  • Assist with the preparation of payroll records for audits and compliance reviews.

PROCESS IMPROVEMENT

  • Identify opportunities for process improvement and collaborate with the Director of Payroll to implement changes.
  • Streamline payroll procedures to increase efficiency and reduce errors.

TEAM SUPPORT

  • Provide guidance and support to payroll staff, fostering a collaborative and productive work environment.
  • Assist with training and development to enhance team skills and knowledge.

VENDOR AND STAKEHOLDER RELATIONS

  • Collaborate with vendors, third-party service providers, and internal stakeholders to ensure smooth payroll operations.
  • Address inquiries and issues related to payroll.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent verbal and written communication skills.
  • Strong analytical and critical thinking skills.
  • Excellent organizational skills and attention to detail.
  • Strong supervisory and leadership skills.
  • Proficient with Microsoft Office Suite (specifically Excel) or related software.
  • Ability to work well under pressure and meet tight deadlines.

Qualifications

Qualifications

  • Bachelor’s degree in Finance, Accounting, Human Resources, or a related field.
  • Preferably, three to five years of payroll experience in a nonprofit organization.
  • Experience with Paycom payroll software is highly desired.
  • Strong understanding of payroll processes, tax regulations, and compliance requirements.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal abilities
