Position Summary

We are seeking an experienced and dedicated Chief of Staff who will further our mission by driving key organizational initiatives. The Chief of Staff will serve as a strategic advisor to the President and CEO of HeartShare Human Services and HeartShare St. Vincent’s Services and be responsible for driving organizational priorities and ensuring operational excellence. The Chief of Staff plays a critical role in providing analysis, aligning efforts across the agency, managing high priority initiatives and fostering collaboration among key stakeholders as defined by the CEO. This person must be a leader who possesses exceptional attention to detail, outstanding project management and organizational skills and is an excellent communicator.  

 

Primary Responsibilities and Essential Functions of Position

Strategic Leadership 

  • Act as a strategic partner and thought leader to the CEO, delivering insightful analyses and input to address the agency’s strategic priorities. 
  • Work closely with the executive team on emerging strategic initiatives from vision to execution, including project management and implementation. 
  • Translate the CEO’s vision into actionable plans, ensuring alignment with the agency’s mission and goals.  
  • Identify critical issues and potential roadblocks to achieving strategic goals and partner with executive and leadership teams to address them.  
  • Serve as liaison between the CEO and staff, board members, donors, and external partners. Represent the CEO and agency at events and meetings as needed.  
  • Support board relations, including preparing agendas, materials and follow-ups for board meetings. Drive engagement and foster meaningful collaboration with the board members to ensure alignment and trust.   

Operational Oversight 

  • Oversee the preparation of briefings, presentations, and reports for both internal and external meetings. Plan and prepare agendas for executive leadership/committee meetings, retreats and events, document minutes, and manage follow-up actions.  
  • Directly manage and supervise the Executive Assistant to the President and CEO. Manage the CEO’s schedule, ensuring seamless coordination and prioritization of key engagements and events.  
  • Connect with staff at all levels of an organization, from frontline employees to mid-level management, as well as senior executives. Serve as the bridge between staff and senior leadership, facilitating the exchange of ideas and providing support in problem-solving efforts. 
  • Track operational strategies and coordinate organizational procedures to optimize efficiency and productivity. 
  • Handle highly confidential internal and external inquiries, develop action plans, and assist with the preparation and dissemination of responses. 
  • Identify opportunities for improvement in the current operating environment. 
  • Respond to inquiries on behalf of the CEO. 
  • Provide high -level insight and analysis of the organization’s operations to executive staff and other senior leadership. 
  • Cultivate a culture of inclusivity, ensuring sensitivity to cultural differences within HeartShare’s service population and staff.  
  • Undertake any additional tasks and initiatives as assigned by the CEO.

Qualifications

  • 8+ years professional experience within project management or leadership role. 
  • Bachelor's degree or equivalent required, Master's degree preferred.
  • Experience working with government officials, NYS and NYC oversight agencies strongly preferred.    
  • Advanced Microsoft Office skills and familiarity with other common business applications. 
  • Highly conscientious with strong attention to detail and highly organized. 
  • Strong analytical skills with the ability to analyze and interpret data to influence decisions and drive process optimization. 
  • High emotional intelligence and excellent judgement with demonstrated experience building relationships and presenting to an executive-level audience. 
  • Exceptional written and communication skills. 
  • Proven ability to manage complex projects and drive initiatives.  
  • Demonstrated ability to foster meaningful relationships and work effectively with executive leaders/stakeholders across various departments.

Salary is commensurate with experience.
