Description

Position Summary

The HR Compliance Specialist is responsible for supporting internal and external reporting requirements tied to compliance projects such as audits, credentialing, background checks and clearances. Reporting to the Onboarding Manager, the HR Compliance Specialist will be an integral part of ensuring the agency maintains and keeps track of employee files in accordance with oversight regulatory agencies.

 

Job Responsibilities

  • Assist with any provider audits or credentialing project or initiative that may arise.
  • Collaborate with HR partners, including Onboarding Specialists and HR Policy Manager, to ensure the new hire onboarding process aligns with established policies and complies with current laws and regulations.
  • Conduct internal audits of employee files (physical copies, in HRIS and oversight agency portals) for license, certifications and background renewals according to state and federal program regulations.
  • Proactively identify and request missing or outdated documents from program leaders or employees, ensuring timely submission to onboarding specialists for processing in accordance with compliance requirements. Review HRIS and external agency portals to ensure all required documents are uploaded and updated.
  • Digitize physical employee files (active and tenured) and upload them to HRIS (Paycom).
  • Point of contact for document requests across all programs, ensure appropriate forms are completed for such requests and provide documents as needed by programs (according to applicable laws and sharing confidential information standards).
  • Collect, organize, and prepare all required documentation to support onsite and program audits, ensuring timely and accurate submission.
  • Generate monthly compliance reports from HRIS (Paycom) and regulatory agencies, including I-9, Justice Center, eJusticeNY, Criminal History Record Check, and OCFS databases, and share findings with the Onboarding and HR Compliance Director for follow-up and resolution.
  • Oversee and maintain certification management systems to ensure timely renewal and compliance of program clearances, certificates, and licenses.
  • Conduct safety assessment reviews for criminal background check findings and employee arrests, ensuring compliance with the Fair Chance Act and organizational risk management protocols.

Qualifications

  • Associate’s degree or equivalent preferred.
  • 2 years of experience in HR, onboarding or compliance in a similar environment.
  • Strong interpersonal and communication skills.
  • Excellent follow-up, customer service and collaborative skills.
  • Strong organizational skills, assertive, and able to work independently and collaboratively.
  • Ability to manage time effectively and determine priorities, scheduling and logistics skills with a strong attention to details.
  • Strong knowledge and familiarity with following up on various background checks, onboarding practices, employment laws, and compliance standards.
  • Ability to work in a team and take initiative, maintain flexibility, and creatively solve problems.
  • Highly efficient using HRIS systems and office applications. [Microsoft Office365, Excel, Applicant Tracking System, (and Paycom a plus).
