Job Summary

The Staff Accountant (Grant Accountant) is responsible for fiscal oversight of one or more HeartShare subsidiaries.  This position role is crucial in ensuring the accurate and compliant management of grant funds, supporting our mission.  The person in this position is expected to analyze and interpret complex financial data and ensure all accounting work is performed in accordance with all internal and external requirements.  Additionally, the person in this position must maintain orderly files for all work papers and detailed schedules, meet deadlines for the monthly, quarterly, and annual closing process, and participate as needed in all internal and external fiscal meetings.

 

Job Responsibilities and Essential Functions of Position

Grant Financial Management:

Develop and maintain financial systems and processes for grant management.

  • Ensure accurate and timely processing of grant-related financial transactions.
  • Monitor grant expenditures and ensure they align with approved budgets and grant agreements.
  • Prepare journal entries as required.
  • Analyze general ledger and reconcile balance sheet accounts.
  • Review and approve accounts payable vouchers for assigned programs.
  • Work with fiscal and program staff to address budgeting and reporting issues.

Budgeting and Reporting:

  • Prepare and manage grant budgets in collaboration with program managers.
  • Generate financial reports for grantors, ensuring accuracy and compliance with grant requirements.
  • Assist in the preparation of periodic financial statements and grant-related financial reports.

Compliance and Audit:

  • Ensure compliance with federal, state, and local regulations related to grant management.
  • Prepare for and assist with audits, providing necessary documentation and explanations.
  • Maintain comprehensive records of all grant-related financial activities.

Collaboration and Communication:

  • Work closely with program managers and other stakeholders to provide financial insights and support for grant-funded projects.
  • Communicate effectively with grantors about financial status and compliance issues.
  • Train and support staff on grant management policies and procedures.

Analysis and Improvement:

  • Prepare and submit budgets, invoices, schedules, and workpapers in accordance with the funder guidelines.
  • Analyze financial data related to grants to identify trends, variances, and areas for improvement.
  • Develop and implement strategies for improving financial management and reporting processes.
  • Stay updated on best practices and changes in grant accounting standards.
  • Other tasks as assigned to meet agency goals and adherence to deadlines.

Qualifications

Qualifications

  • Minimum of at least three years of accounting experience.
  • Previous fiscal work experience with NYC, NYS, Federal, and private grants & contracts.
  • Thorough knowledge of GAAP.
  • Experience preparing the NYS SSOP, NYS CFR, or Uniform Guidance (formerly A-133) reports.
  • Prior experience contributing to funder and agency audits.
  • Advanced experience using Microsoft Excel and Word, accounting systems, and other common workplace software.
  • Experience with NetSuite is highly desirable.
  • Able to provide insightful analysis of complex fiscal scenarios in a timely manner.
  • Detail-oriented, with excellent written and oral communication skills.
  • Previous fiscal work experience with NYC, NYS, Federal, and private grants & contracts.
