Job Summary:

We are seeking a detail-oriented LMS Administrator to manage, configure, and optimize our Learning Management System (LMS) and related learning technologies. This role is critical to ensuring seamless delivery, tracking, and reporting of training programs across our boutique fitness franchise network. The ideal candidate balances technical acumen, problem-solving abilities, with interpersonal skills.

This role involves technical configuration, user management, system maintenance, reporting, and providing support to internal teams to ensure the LMS functions seamlessly. Additionally, the LMS Administrator acts as a key collaborator with Instructional Designers, IT professionals, and other stakeholders to drive continuous improvement and enhance the learning experience. This role is based in the Xponential Fitness Headquarters located in Irvine, California.

Responsibilities:

LMS Configuration & System Maintenance:

  • Configure and customize the LMS to meet organizational and project-specific requirements, including courses, learning paths, user roles, permissions, e-learning content, and multimedia training materials.
  • Collaborate with stakeholders to tailor features and functionalities to optimize learning experiences.
  • Apply updates, monitor system performance, and troubleshoot technical issues to ensure a reliable and up-to-date LMS.
  • Maintain accurate documentation of system configurations, processes, features, and security protocols.
  • Partner with L&D leadership and SMEs to test and deploy new content and features.

Reporting and Analytics:

  • Generate detailed quarterly and annual reports on course completion rates, learner engagement, and training outcomes for departmental leaders and executives.
  • Use learning analytics tools to identify trends, measure the LMS's effectiveness, and recommend system improvements to achieve ROI goals and improve training outcomes.
  • Provide insights to L&D department leadership.

Content Management:

  • Upload, organize, and update eLearning courses, instructor-led training schedules, and other training resources.
  • Ensure all content is properly tagged, categorized, and searchable.
  • Collaborate with department leadership and Instructional Design team to ensure the effective delivery of training programs.
  • Create and manage course catalogues, channels, and personalized learning paths.

Technical Support:

  • Troubleshoot technical issues related to site functionality, navigation, and course catalogs/ content visibility.
  • Perform system maintenance and updates and collaborate with vendors to resolve technical issues.

User Support and Training:

  • Develop user guides, FAQs, and training programs to ensure users can maximize the platform’s capabilities.
  • Develop and manage administrative training programs for internal users with administrative permissions.

Learning Technology Optimization:

  • Leverage generative AI tools to support the personalization of learning paths and streamline content management.
  • Identify opportunities for task automation and implement solutions.
  • Research and recommend new LMS features and technologies to enhance learning experience and operational efficiency.

Certifications, Gamification and Engagement:

  • Manage Continuing Education (CE) credit validations and digital credentials for role-specific competencies.
  • Track learner progress and ensure timely issuance of certifications upon course completion.
  • Design and manage gamification elements such as badges, leaderboards, and rewards to enhance learner engagement.

Integrations, Compliance, and Security:

  • Configure and maintain integrations between the LMS and other internal/external systems.
  • Collaborate with IT and vendors to ensure seamless data flow and system functionality.
  • Ensure LMS compliance with data privacy regulations, industry standards, and internal policies. Manage system updates and security settings.

Learning Experience Design:

  • Act as a consultant for improving user experience, providing insights on course discoverability, navigation, and learner engagement.

Pay Range: $85,000 - $95,000

Qualifications

Qualifications:

Education:

  • Ideal candidate’s educational background includes degrees or certifications in information technology, instructional design, or a related field.

Experience:

  • 3+ years of experience in LMS administration or a similar role involving system administration, reporting, analytics, and troubleshooting.
  • Preferred: Experience with gamification, learning analytics, and certification programs.

Technical Skills:

  • Proficiency in LMS administration (e.g., Intellum, Docebo), reporting, and troubleshooting.
  • Experience with integrations using APIs, HRIS systems, and other learning technologies.
  • Preferred: Familiarity with adaptive learning technologies, generative AI tools and their application in LMS management and content creation.

Knowledge:

  • Understanding of SCORM, xAPI, and other eLearning standards.
  • Knowledge of data privacy and security best practices as they relate to LMS management.
  • Familiarity with instructional design principles and their application in learning technology.
  • Preferred: Familiarity with franchise business models, and familiarity with compliance training and CE credit requirements.

  • Excellent problem-solving, analytical, organizational and time-management skills to handle multiple projects and deadlines.
  • Effective interpersonal and communication skills to work collaboratively with diverse teams.
  • Ability to anticipate and resolve technical issues while understanding and addressing user concerns.
