The Norton Museum of Art is seeking a Development Officer for Donor Events to support the Donor Engagement team and initiatives. This full-time exempt position plays a critical role in stewarding and engaging the Museum’s Upper-Level Members and Donors ($2,500 and above annually) through the management of internal, Donor Engagement led, events including, but not limited to, Tier 1 Exhibition Openings, Trustee dinners/lunches, Chairman’s Circle events, Curatorial Council events, Norton Circle events, and select Director’s Office initiatives.

This individual will work closely with Development Leadership to determine the best strategies for effective donor stewardship and engagement and with the Event Services team to plan the internal logistics for these events. The Development Officer for Donor Events will report directly to the Director of Donor Engagement (DDE), and work closely with Development + External Affairs team members.

Responsibilities include, but are not limited to:

  • Manage the planning and stewardship for Tier 1 Exhibition Openings, Trustee dinners/lunches, Chairman’s Circle events, Curatorial Council events, Norton Circle events, and select Director’s Office initiatives, and any other internal events as assigned.
  • Support the DDE with the strategizing, planning, and stewardship for the major Museum fundraisers (including the annual Gala).
  • Collaborate with the Development Officer for Donor Relations to create a strategic calendar of events and upper-level member benefits that attract new upper-level members, retain current upper-level members, and creates incentives for upgrade each year.
  • Work with the DDE on annual cross-departmental event schedules and collaboration for annual schedule planning and review.
  • Manage the event invitation process – oversee the mailing lists and mailings, inclusive of digital and physical invitations, for Tier 1 Exhibition Openings, Chairman’s Circle events, Curatorial Council events, Norton Circle events, select Director’s Office initiatives, and any other internal events as assigned.
  • Work closely with the Event Services team in updating pertinent details for the event coordination (guest count, timing changes, décor elements, etc.).
  • Write and review copy for printed/marketing materials (save the date, invitations, programs, event signage, press releases, ads, etc.), ensuring accuracy and conformity to Museum branding guidelines.
  • Collaborate with Donor Engagement team members and Individual Giving team members on revenue and expenses for specific events, with a focus on not exceeding approved expense budgets and meeting fundraising revenue goals.
  • Support the DDE on sponsorship solicitations and correspondence for major Museum fundraisers (including the annual Gala).
  • Work with Donor Engagement team members on tracking and reporting, as needed.
  • Collaborate with the DDE in determining post-event cultivation follow-up.
  • In collaboration with the Individual Giving team, work with DDE and Development Officer for Donor Relations in supporting the prospect pipeline and identifying opportunities where members and/or donors could increase their annual level of support.
  • Work synergistically with all departments of the Museum to create a seamless event experience for event attendees, staff, and Museums visitors.
  • Assist with maintenance of constituent records in the Museum’s database for accuracy.
  • General administrative tasks, including answering phones, managing RSVP lists and multiple email accounts.
  • Handle confidential information appropriately.
  • Attend evening and weekend events/fundraising activities and assist as needed.
  • Other reasonable duties, as assigned.

Physical Requirements:

  • This position will require evening, weekend, and possible holiday hours. The person in this position must be able to move about inside and outside the office, stand for long periods of time (up to at least 4 hours), communicate with managers and employees, access and operate computer and other office equipment; and ability to lift, move or carry up to fifteen (15) pounds. 

Qualifications

  • BA/BS degree required. 
  • Three or more years in a related role preferred.
  • Experience in Development/Advancement in a Museum or cultural institution experience preferred, but not required.
  • Excellent written, verbal, and communication skills. 
  • Proficient in Microsoft Office applications, including database management (Altru proficiency a plus). 
  • Ability to convey a positive and professional image, especially in high-pressure situations, with Museum staff, vendors, guests, and high-level donors. 
  • Self-starter with the ability to prioritize, multi-task, and excel in a fast-paced environment. 
  • Good decision-making and problem-solving skills. 
  • Demonstrate the highest level of personal and ethical standards. 
  • Attention to detail and accuracy in performance. 
  • Ability to meet and impose deadlines, working with minimal supervision. 
  • Ability and willingness to work extended hours, including nights and weekends as needed. 
  • Willingness to monitor personal and shared email inboxes after hours and on weekends.
