SummaryThis is a crucial role at Answers in Genesis in the Brand, Product Development Department.  This candidate will interact with all departments within AiG including Product Sales, Product Development, Marketing, Events, Design, Outreach, International, Educational Resources, Creation Museum, Ark Encounter, and others. This position will require all stages of Project Management, initiation, planning, execution, monitoring and controlling, and closing phases. Coordinating, scheduling, and prioritizing a multitude of product development projects simultaneously.  Ability to Work with stakeholders and product development team to ensure projects are completed, tracked, and delivered on time and on budget.

In addition, they will need to handle a wide range of administrative support related tasks and work independently with little or no supervision. Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and projects.  They will need to provide a high-level administrative support by conducting research, preparing statistical reports, preparing profit and loss statements, handling information requests, and performing clerical functions such as preparing correspondence, expense reports, purchase orders, receiving visitors, arranging conference calls, and scheduling meetings.

The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial in this role.  Strong level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

Qualifications

Responsibilities        

 

  1. Project management responsibilities include identifying project requirements to define the outcomes; addressing various needs, concerns and expectations of others; setting up, maintaining and carrying out communications; managing others; creating project deliverables; and balancing competing project constraints.
  2. Monitor project progress and set deadlines
  3. Solve issues that arise.
  4. Manage the cost of the project
  5. Ensure stakeholder satisfaction
  6. Evaluate project performance.
  7. Plan and develop the project idea. 
  8. Schedule and attend periodic meetings of department teams.
  9. Be responsible for heavy calendar management, requiring interaction with both internal and external and all AiG Brand and Product Development personnel.
  10. Coordinate travel plans/schedule for CMO, VP, Director and other personnel on the product development team.
  11. Provide administrative support to CMO and managers.
  12. Prepare meeting agendas, meeting notes, and documentation.
  13. Manage event projects, planning and execution.
  14. Execute a project management model throughout each project life cycle.
  15. Coordinate multiple projects from conception to production working closely with AiG personnel, designers, print shop, outside vendors, and Senior Management to ensure deadlines are met.
  16. Coordinate recurring projects including maintaining schedules and tracking of print projects including but not limited to the newsletter, magazine subscription renewal letters, etc.
  17. Prioritize and administer multiple projects simultaneously and follow through independently on issues in a timely manner.
  18. Manage all design team projects using project management software.
  19. Manage day-to-day problem solving and user support, coordinating efforts to increase
    efficiency and communication.
  20.  obtaining, analyzing, and ordering estimates for all projects requiring outsource production. 
  21. Review and summarize miscellaneous reports and documents; prepare background
    documents and outgoing mail as necessary.
  22. Prepare individual expense reports, attaching all receipts and filing all proper
    documentation.
  23. Balance and maintain banking for our department.
  24. Prepare purchase orders, track invoices, and monitor/maintain overall budgets.
  25. File/maintain high level and confidential office documentation.
  26. All other duties and responsibilities as assigned by management.

 

REQUIREMENTS

  4. Able to handle multiple large projects with skill and flexibility.
  5. Able to complete tasks in a timely manner

  7. Possess good writing, oral communication, and analytical skills.
  8. Advanced understanding of Microsoft Word, Excel, and Outlook.
  9. Flexibility and the ability to work together with many personality types at different levels.
  10. Desire to be a team player in an exciting God-centered ministry and willing to help wherever needed in a humble, gracious manner.
  11. Willing and able to adapt to changes in policies, procedures, and work assignments

Education & Experience

  1. Bachelor’s degree or equivalent experience in either administrative, project management or a computer-related field.
  2. Five years administrative or project management experience (or equivalent).
  3. Proficiency with Microsoft Word, Excel, Outlook, and other productivity tools.
