About the Role

We are seeking an Accounts Payable Accounting Clerk that will be responsible for the full cycle of accounts payable, including ensuring proper approvals for invoice payments are obtained, vouchers/invoices are accurately entered into the payable system, and timely preparing and disbursing payments. This position will liaise with our external vendors, and will be responsible for reconciling discrepancies in vendor accounts. The person in this position will make manual entries into the accounting system, run accounts payable aging reports, prepare/process check runs, administer the electronic invoice processing system and provide general accounting support as necessary. 

 

Key Responsibilities

  • Prepare all invoices for payment including obtaining proper approvals, entering into the accounting system, and reconciling vendor accounts.
  • Maintain and administer the electronic invoice processing system.
  • Prepare and disburse vendor payments. Maintain filing of all invoices paid.
  • Review, prepare, and reconcile corporate credit card statements monthly.
  • Interacts with employees and commercial vendors.
  • Assist with assess contract pricing for various goods and services.

Work Schedule:

This is a full-time position with regular business hours (Monday - Friday). Occasional evenings may be required. Callen-Lorde's main site in Chelsea is open Monday through Saturday.

Qualifications

  • High school diploma required or associate's degree in accounting, or other related field.
  • 1-2 years full cycle of accounts payable experience
  • Formal payroll training/certification considered an asset.
  • Prior experience in a healthcare or social services setting and/or a non-profit organization highly desirable.
  • Effective communication skills with colleagues and other healthcare professionals.
  • Ability to handle multiple tasks and work under stress in a dynamic environment, managing patient care needs effectively.
  • Demonstrate proficiency in essential digital tools and technology including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excel in delivering customer service and the ability to manage vendor relations, active listening, and responsive communication.
  • Collaborate effectively within a team environment, supporting colleagues and contributing to shared goals
