The Administrative Data Specialist is an integral part of the Technology and Administration team, supporting Elmbrook’s mission through effective data management and administrative support. This position is suited for an individual with a strong desire to learn and grow within the field of data management and technology. This role is ideal for someone eager to learn and grow in the fields of data management and administration. The role requires a learner mindset, with a readiness to acquire new skills in various systems, policies, and procedures. Collaboration across Ministry and Support Services teams is essential to ensure the integrity and accessibility of Elmbrook's database and information systems while providing administrative support.

Major Responsibilities

  • Work within a team to maintain Elmbrook’s information systems, ensuring data entry standards are well-documented, communicated, and implemented across departments. Develop and manage data streams, maintaining the accuracy and integrity of information systems.
  • Assist departments in using and applying all modules of the church management system to their respective ministry functions and help church members with database interactions.
  • Serve as a quality assurance resource and point of contact for data-related initiatives, ensuring high data quality and reliability standards.
  • Track projects, maintain calendars, assist with events, and help implement Technology and Administration Team plans.
  • Collaborate with other team members to coordinate ministry/event web presence, registration, and promotion details.
  • Promptly address and fulfill data-related requests from staff members, demonstrating flexibility and adaptability to the evolving needs of the ministry.
  • Participate in the development and training of volunteers and occasionally delegate tasks to support team objectives.
  • Support team and ministry events, which may require some availability outside of normal working hours and may include assisting with set-up and tear-down.
  • Contribute to various technology and administrative projects, enhancing Elmbrook’s suite of system tools.
  • Act as the primary backup for front office staff.

  • A proactive learner, open to acquiring new skills and knowledge in computer systems, software, and data management practices.
  • Demonstrated proficiency in computer systems and software applications.
  • Strong analytical, problem-solving, and administrative skills.
  • Excellent organizational and project management abilities, with a keen ability to prioritize and execute tasks efficiently.
  • Effective communication skills, both verbal and written, with an emphasis on listening and clear expression of ideas.
  • Experience using Microsoft Office Suite: (Word, Excel, PowerPoint, Outlook, & Teams), Zoom, Adobe Acrobat, and social media platforms (Facebook, Instagram, & YouTube).
  • Familiarity with design software (e.g., Photoshop, Illustrator) and website content management systems (WordPress or similar) is a plus.
  • Flexibility and willingness to adapt to the changing needs of the department and ministry.
  • Bi-lingual Spanish speaking is preferred

Employment Information

This position is part-time, hourly, and classified as nonexempt, 20- 25 hours/week.

Salary – dependent on experience, skills & education

Benefits Package

Paid Time Off (PTO) – Part-time employees who are scheduled to work more than 10 hours per week are eligible to earn PTO. PTO is accrued on a calendar year basis. Refer to the Staff Handbook for specific details.

Holidays – Part-time employees who are scheduled to work more than 10 hours per week are eligible for holiday pay if the holiday falls on their normal scheduled workday. Refer to the Staff Handbook for specific details.

403b – Employees are eligible to participate in the 403b pension plan if they are scheduled to work 20 or more hours per week. Entry dates for the 403b plan are the first of the month following the date of hire. On an employee’s first anniversary, Elmbrook will match up to 2%

Reporting Structure

The Administrative Data Specialist will be accountable and report directly to the Technology & Administration Director of Elmbrook Church.
