SUMMARY

This position is responsible for planning, organizing, and executing all aspects of the payroll function for multiple operating locations. This includes 401k management, benefit payments, payroll and timekeeping system administration, deduction reconciliation, and any other functions associated with payroll.  The Payroll Administrator must perform job duties with a high level of confidentiality, support, and top quality customer service in accordance with TST’s guidelines and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Keeps abreast of changes in local, state, and federal laws; ensuring the payroll environment and system is in compliance; changes policy language as it pertains to the payroll function.
  • Administrator for the payroll and timekeeping systems, including set up, changes, user administration, and troubleshooting.
  • Coordinates work flow and procedures between payroll, HR and location management.
  • Establishes and implements written procedures for payroll workflow as needed.
  • Review, assist, and report on data entry of missed punches, work schedules, time adjustments, direct deposit, tax, and any other data in the payroll environment and system; balance and audit the payroll environment and system and payroll batch data to ensure appropriate processing.
  • Obtain and review approvals of employees’ times in the payroll environment and system to ensuring that the appropriate employee and supervisory signatures are present, physically or electronically.
  • Processes payroll items such as commissions, bonuses, reversals/voids, etc.
  • Prepares off-cycle payroll checks and special payrolls as needed.
  • Develops and maintains payroll recordkeeping for locations, ensuring appropriate approvals, controls, and compliance with state and Federal laws and company recordkeeping guidelines.
  • Reviews balances, prepares reports, processes payouts as required, maintains reporting, and runs queries/reports on used/available PTO.
  • Process employee data (pay rates, transfers and miscellaneous changes)
  • Process voluntary and involuntary deductions such as levies, garnishments and 401k
  • Prepares and processes loans, contributions and yearend reporting for 401K plan.
  • Oversees 401K administration and assists with annual reporting and audit requirements.
  • Calculate and process manual checks when necessary
  • Prepares all benefit payments and reconcile all deductions for benefits to the payments, keeping our records in alignment to the benefit providers by working with the providers as needed.
  • Maintains records for workers’ compensation and handles all aspects of workers’ compensations audits.
  • Prepares and posts all general journal entries for all payroll, payroll accruals, benefits, and deductions in the accounting system
  • Prepares reconciliations for all general ledger accounts related to payroll, 401k, and benefits.
  • Perform other accounting & administrative duties as assigned by management.

Qualifications

QUALIFICATIONS AND EXPERIENCE

  • Associates degree or equivalent. 
  • Minimum 5 years of experience in high volume payroll processing for a medium to large multi-shift, multi-location workforce.
  • Knowledge and experience using a major payroll platform or in house processing required.
  • 401k administration experience a plus.
  • CPP or other payroll certification desirable
  • Bilingual in English and Spanish required.

SKILLS AND ABILITIES

  • Ability to analyze and interpret data, identify errors and prepare reports.
  • Strong Knowledge of federal/state wage and hour laws, including garnishments.
  • Strong communication and interpersonal skills required.
  • Aptitude to learn new systems and programs quickly and apply knowledge to related situations.
  • Self-starter, creative thinker and problem solver.
  • Ability to handle multiple tasks and meet tight deadlines in a fast paced environment.

PHYSICAL DEMANDS

WORK ENVIRONMENT

While performing regular duties the employee works in a normal office environment exposed to electrical equipment.
