Summary

 

The Entry level HR Manager supports the daily operations of the Human Resources department by managing employee benefits, leaves of absence, 401(k) administration, onboarding, and personnel recordkeeping. This role ensures compliance with institutional policies, employment laws, and HR best practices while providing excellent internal customer service to employees and managers across all departments.

 

Essential Functions

 

Benefits Administration

 

  • Administer employee benefit programs including medical, dental, vision, life insurance, disability, and wellness plans.
  • Assist employees with benefit enrollment, qualifying life events, and general benefits inquiries.
  • Coordinate with our benefit broker to resolve benefits matters.
  • Support annual open enrollment process, including communications and system updates.

 

Leave Management

 

  • Manage employee leaves of absence including FMLA, CFRA, ADA, personal, and other state-mandated leaves.
  • Maintain accurate leave tracking and documentation in accordance with policy and applicable laws.
  • Communicate leave status, return-to-work dates, and accommodations with employees and supervisors.

 

401(k) & Compliance

 

  • Administer 401(k) plan including enrollments, changes, and employer contributions.
  • Prepare and submit required reports and audits (401(k), ACA, EEO-1, etc.).
  • Maintain compliance with federal and state employment regulations.
  • Complete annual IPEDS reporting with Chief Student Finance Officer

 

Onboarding

 

  • Manage  the day-to-day onboarding process and oversees the HR Assistant and HR Generalist meeting deadlines, which includes new hire paperwork, background checks, and orientation.
  • Ensure completion and accuracy of I-9 documentation and personnel files.

 

Employee Records & HR Audits

 

  • Maintain and audit employee files (electronic) to ensure accuracy and compliance.
  • Perform regular internal audits of HR systems and documentation.
  • Work with the campuses to ensure the HR portion of the ACCSC/COE files are updated
  • Maintain confidentiality and data integrity of all employee information.

 

Employee Relations & Support

 

  • Respond to employee inquiries regarding policies, procedures, and HR systems.
  • Support managers with employee life-cycle events such as promotions, transfers, and separations.
  • Participate in HR projects and initiatives to improve departmental processes and engagement.

Qualifications

Knowledge / Skills

 

  • Effective verbal and written communication skills to interact with employees and candidates
  • Strong ability to manage multiple tasks and maintain accurate records
  • Keen eye for detail to ensure accuracy in documentation and record-keeping
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Familiarity with HR software, MS Office Suite, and other relevant tools
  • To work well in a team and build positive relationships with employees at all levels
  • Willingness to work weekends and/or early morning or evening hours as required

 

Education and Work Experience

 

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred and a minimum of 3 years of in a Senior Human Resources Generalist or similar role  OR
  • High School diploma or GED and 5 years of advanced level Human Resources work experience in Senior Human Resources or similar role
  • Working knowledge of employment laws and HR compliance (FMLA, FLSA, ADA, COBRA, etc.).
  • Experience with HRIS systems and Microsoft Office Suite.
  • Strong attention to detail, organization, and confidentiality.
  • Excellent interpersonal and communication skills.

Preferred Experience:

  • Experience in higher education, technical training, or multi-campus operations.
  • Familiarity with Paycom or similar HR platforms.

 

Certificates, License, Registrations

 

  • SPHR/PHR preferred

Work is normally performed in a typical interior/office work environment.  While performing the duties of this job, the employee is regularly required to Prolonged periods sitting at a desk and working on a computer. Frequent use of hands and fingers to operate standard office equipment, including keyboards, telephones, and copiers. Occasional standing, walking, bending, or reaching to access files and office materials. Ability to lift and/or move up to 25 pounds (such as boxes of files, office supplies, or recruitment materials). Consistent visual and auditory attention required to read reports, communicate via phone and video meetings, and engage in employee interactions. Occasional travel between campus locations or to off-site training or meetings may be required.
