Summary

 

The Human Resources Specialist is responsible for performing HR-related duties supporting our California and human resources department.  This position supports the Human Resources department  in administration of departmental objectives. This role provides clerical and administrative support in order to centralize back-end HR functions.

 

Essential Functions

 

  • Upload updates documents into employee facing databases (HRIS and SharePoint) for access to policies and procedures (PAFs, performance reviews, and other HR documents).
  • Assist with back-end system set up in HRIS and ticketing system
  • Processing Unemployment claims, tuition benefits, WFH requests, jury duty, bereavement and etc
  • Assist in tracking, follow up reminders, and collections of Compliance Training certificates and new hire training
  • Create, edit and finalize job descriptions
  • Ensure compliance with applicable labor laws and internal policies by maintaining up-to-date records and assisting in audits.
  • Draft internal communication emails; send company-wide Wellness updates and newsletters
  • Event planning assistance for employee appreciation or other HR-driven efforts
  • Assist campuses in implementation of Bravo Award Program and Mission, Vision, Values communication
  • Aid in the successful completion of HR departmental projects
  • Maintains employee confidence and protects operations by keeping human resource information confidential
  • Performs various administrative tasks as needed including, scheduling meetings, preparing paperwork, filing, and running reports and expense reports
  • Assist recruiting team with scheduling Flight Instructor interviews
  • Compliance management with COE files for transfer to Campus administrator
  • Assistance with prepping for payroll and timecard issues
  • Performs other related duties as required and assigned

  • Improves organization attractiveness by recommending new policies and practices; monitoring job offers and compensation practices; emphasizing benefits and perks

 

Knowledge / Skills

 

  • PC proficiency (MS Office, in particular)
  • Hands on experience with an HRIS or HRMS
  • Hands on experience with Applicant Tracking System (ATS)
  • Basic knowledge of labor laws
  • Excellent organizational skills
  • Strong communications skills

Qualifications

Education and Work Experience

 

  • High School or GED required
  • A bachelor’s degree in human resources or business management preferred
  • Two (2) to four (4) years of related Human Resources experience required
  • Proven experience as an HR assistant, or relevant human resources / administrative position required

This is a largely sedentary role; however, some filing is required.  Majority of time is spent sitting at a desk or workstation using a computer and telephone. Must be able to read and interpret documents, spreadsheets, and computer screens for extended periods. Must be able to communicate clearly and effectively in person, over the phone, and in virtual meetings. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Occasional standing, walking, and reaching within the office environment; may need to move between departments or attend off-site meetings. Requires attention to detail, problem-solving, and the ability to manage multiple tasks under deadlines.
