Mountain View Hospital is looking for an Oral Chemotherapy Coordinator to join our team!

JOB SUMMARY: This position provides a multitude of role functions associated with oral and IV chemotherapy management at Teton Cancer Institute. These functions include sterile compounding, assisting pharmacists in oral chemotherapy management, overseeing employees working in oral chemotherapy and prescription refills, as well as developing processes to improve patient care and communication with outside pharmacies. . Those in this role will prepare sterile USP<797> and <800> compounds, input computer data, and provide all aspects of customer service that are required to provide Oncology Department services. Verifying benefits and help to coordinate patient assistance programs when necessary. Checks proposed treatment to make sure the diagnosis will support medical necessity as per insurance company. This position completes the essential functions of the job under the direct supervision of a physician and/or pharmacist.

SPECIFIC DUTIES AND RESPONSIBILITIES:

 

  1. Prepares compounds and dispenses medications, chemotherapy, and intravenous medications upon physician's orders.
  2. Oversees physician order queue, refill queue, fax queue, and oral reminder queues
  3. Train other technicians on the oral chemotherapy process and sign off on their competencies.
  4. Counsel and retrain staff when procedures are not followed.
  5. Maintains clean and safe operation of biological safety cabinets.
  6. Oversees inventory of samples including performing routine cycle counts of drug inventory, rotating stock and pulling outdated medications, as well as obtaining samples from drug reps, coordinating with patients, providers and nursing staff to distribute samples.
  7. Lead Oral Chemotherapy meetings
  8. Attends training classes, programs, and departmental meetings.
  9. Adheres to <797> and <800> regulations, appropriately prepares IV compounds, and maintains necessary competencies.
  10. Appropriately cleans sterile areas and appropriately documents.
  11. Assigns tasks to other oral chemotherapy techs as appropriate, and ensure the tasks are completed correctly and in a timely manner.
  12. Problem solves operational issues within the department assisting pharmacists and management in performance evaluations and staff coaching. Assisting in employee recruitment and time card evaluations. In addition to any other delegated managerial roles as delegated by pharmacy administration.
  13. Assists in building processes in drug donation programs, in compliance with state law
  14. Oversees sample management processes including procurement, record keeping and distribution, in compliance with state law
  15. Assists in the development of a Specialty Pharmacy, assisting designated pharmacists in process development strategies to enhance patient care
  16. Responsible for verifying insurance benefits and eligibility of oncology patients, obtaining patient information regarding copay assistance need, grants and/or other patient assistant programs. Responsible for obtaining preauthorization for oral chemotherapy, and supportive oral medications.
  17. Communicates appropriately and clearly to the patients, supervisors, nurse navigators, pharmacists, chemo schedulers, nursing staff, coworkers and providers, ensuring continuity of care.
  18. Initiate projects to improve communication, processes and procedures, and train staff on all new processes.
  19. Maintains and develops department processes, records, reports, forms and files.
  20. Verifies all Teton Cancer Institute patients have appropriate diagnosis for each medication to support medical necessity, obtain prior authorization through prescription insurance and work with financial coordinator for co-pay assistance when needed.
  21.  Responsible for knowing hospital policies and being familiar with hospital services that are available.
  22. Demonstrates an ability to be flexible, organized and function well in stressful situations.
  23. Treats patients and their families with respect and dignity; ensures confidentiality of patients’ records.
  24. Participates in the educational program, completes annual educational requirements, and attends in-service meetings as required.
  25. Attends all meetings as required.
  26. Maintains patient confidentiality at all times.
  27. Must maintain accurate time clock punches, punch in and out according to hospital policy.
  28. Answers incoming calls to the facility in a professional, timely manner.
  29. Will work directly with specialty pharmacies, foundations and manufacturers patient assistance programs and coordinate medication deliveries to patients.
  30. Maintains fax queue and electronic refill requests and phone calls for prescription refills.
  31. Accepts and completes other duties as assigned or requested.

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

  1. Ability to perform the essential functions of the job as outlined above.
  2. Ability to provide care appropriate to the population served.
  3. May determine options from a variety of pre-established departmental policies and procedures, but cannot act outside of these unless authorized to do so by a Physician or Pharmacist.
  4. May vary work routines according to patient care priorities.
  5. Ability to recognize major problems encountered by include first line screening for medication order errors, drug or allergy contraindications, and processing non-formulary drug requests.
  6. May encounter problem solving for operation and maintenance of all automated systems in the Pharmacy Department.
  7. Performing the essential duties of this position may involve standing for extended periods of time and/or handling heavy or bulky supply containers.
  8. Knowledge and ability to perform mathematical calculations for extemporaneous compounding and special dose preparation, rectifying drug distribution errors, reconciling billing and administration records, etc.
  9. Knowledge of medical terminology and outpatient pharmacy operations

Qualifications

QUALIFICATIONS:   

Education/Certification:  High school diploma or general education degree (GED). Must possess an active Pharmacy Technician license from the Idaho State Board of Pharmacy. National Certification as CPhT is preferred. Current BLS is required

Experience:  Training equivalent to one year beyond high school; supplemented with two (2) years of related experience.

Equipment/Technology:  Ability to use hospital information systems, automated dispensing devices and operate basic computer functions and software.

Language/Communication:  Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of the organization.  Good telephone skills are a must. Medical terminology is a must.

Mathematical Skills:  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute doses, volumes, and rates from a given order. 

Mental Capabilities:  Ability to apply common sense to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Interpersonal:  Ability to work well with others, and to deal effectively with all types of people.
