Role, Responsibilities, and Essential Duties:
- Greet and announce clients, visitors and guests while maintaining front desk coverage
- Perform clerical duties as assigned by Program Director
- Answer general questions related to program services, with accurate information
- Maintain calendars for scheduling of clients’ appointments
- Review database for client information prior to visits with service providers
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
- Monitor inventory of office supplies
- Accept and sign for deliveries
- Attend weekly supervision, staff meetings and training programs as needed; write up and distribute meeting minutes.
- Code and submit financial material according to established fiscal procedures
- Assist in coordination of the program interns’ daily activities, schedule and maintain interns’ calendar of events for various projects needed to complete their internship
- Ability to communicate information clearly, correctly and professionally, both verbal and written
- Able to maintain an organized and professional reception area
- Other duties as assigned
Qualifications/Educational Requirements
- High School Diploma required, Associates or some college preferred
- Must be fluent in written and spoken Spanish
Skills, Knowledge, and Abilities:
- Excellent interpersonal skills and communication skills
- Keen attention to detail and ability to multi-task
Computer skills: to perform this job successfully, an individual should have/be:
- Knowledge of Microsoft Office Suite of programs
- Able to use or learn electronic databases such as Intacct, Single Stop or any additional software
Physical Requirements:
- Frequent computer use
- Ability to lift 30lbs
Work Environment
- Work site is located in West Harlem in the Manhattanville NYCHA development
- Weekly onsite work expected
