Administrative DutiesÂ
- Intake and enrollment of all LTW participants, including applications, consent forms, and hiring documentsÂ
- Record service/progress notes for students including but not limited to attendance outreach, individual counseling, career and college advisement, tutoring, and seminar in web-based data collection systems (i.e. LTW tracking forms, Skedula, etc.).Â
- Maintain and organize all required records and files according to organization and contractual requirements and standards, including time sheets, assessments, evaluations, incident reports, etc.Â
- Track students’ academic and attendance progress throughout the yearÂ
- Prepare LTW reports, memos, and documentsÂ
- Monitor and maintain inventory of office supplies and maintain program calendarÂ
- Input purchase requisitions and check requests on IntacctÂ
- Provide core administrative support including copying, scanning, faxing, and filingÂ
Â
Programmatic SupportÂ
- Coordinate new student admission process including outreach, open houses/intake interviews, new student orientations, parent orientations, among others)Â
- Assist with the development of internship worksites and monitoring including weekly site visits and data collectionÂ
- Collaborate in the onboarding process of interns, creating work schedules, and timesheet review Â
Â
Student Support Â
- Provide primary person services to a small caseload of participants as neededÂ
- Provide attendance outreach through phone calls, morning wake-up calls, letters, case conferencing and/or home visitsÂ
- Create and maintain a working-alliance with StudentsÂ
Â
Additional Duties

Collaborate in the successful management of the internship program with LTW Program Director, NYCDOE Staff and the school community

Collaborate with LTW Program Director, the school community, and partners with functions such as special events, performances, workshops, and school community events

With Program Director and the LTW team, create best practices for data tracking, record keeping, and programmatic support

Strategize with team for program improvement

Attend and participate, when appropriate, school / community-based meetings, administrative meetings, professional development trainings and other meetings as needed

Complete tasks and projects assigned by the LTW Program Director, ADED and DED

Qualifications/Educational Requirements
-
High School Diploma; Minimum of two years of experience providing office assistance, family and/or youth work
-
Experience with teens, older youth and/or young adults
-
Knowledge of evidence-based and/or Best Practices to youth development and program support
-
Must obtain Department of Education fingerprint clearance and maintain throughout duration of employment
