The candidate for this position will live in the greater Gennesee or Oakland County areas in Michigan. The work arrangement for this position is hybrid/remote with travel to school locations weekly. Possible travel out of state for support as needed.

HOW YOU WILL MAKE AN IMPACT

 

The Pupil Accounting and Compliance Manager is responsible for overseeing and coordinating the data management, reporting, and compliance functions within the organization. This position combines technical expertise with leadership responsibilities to ensure accurate data management, compliance with state and federal regulations, and effective reporting across multiple departments. This role includes training staff, managing data systems, and ensuring adherence to regulatory requirements, including maintaining a current understanding of multi-state pupil attendance policies and procedures. This position reports to the Director, Expansion or the designee

  • Data Management: Oversee the maintenance and accuracy of student records and databases across the school. Ensure compliance with School, State, and Federal reporting requirements. Manage data integration and reporting from various state systems such and other school software. Analyze and validate data for accuracy and completeness; identify and rectify discrepancies. Develop and implement data management procedures and guidelines to ensure data integrity. Create and update standard operating procedures to ensure pupil attendance and student data accuracy and compliance.
  • Compliance and Reporting: Ensure school compliance with state and federal regulations related to data management and reporting. Compile, analyze, and prepare detailed reports for internal use and submission to state and federal agencies. Maintain a current understanding of multi-state pupil attendance policies and procedures to ensure school-wide compliance. Serve as the primary resource for compliance-related inquiries and provide technical support to staff. Monitor and verify that assignments align with correct authorizations and services. Conduct audits of data and records to ensure accuracy and compliance with regulations. Coordinate and oversee the school's pupil accounting processes, including state aid student counts for October and February, and ensure accurate reporting for state funding. Compile and present monthly school pupil accounting reports for the Board of Education.
  • System Management: Train and support school staff in data entry, system applications, and compliance procedures. Develop and present workshops and training sessions to address areas of need and improve staff proficiency. Provide feedback and recommendations to management for process improvement and enhanced data management practices. Collaborate with school departments to identify data sources, maintain data fields, and ensure accurate reporting. Supervise and guide support staff in the preparation of student records, ensuring adherence to compliance standards and timelines.
  • Supervisory Responsibilities: Manage, coordinate, supervise, coach, and direct the hiring, training, and timely performance evaluations of team members, oversee their daily activities, and oversee the daily workflow of the department.   

Qualifications

KNOWLEDGE, SKILLS, ABILITIES:

  • Strong Knowledge and understanding of state and federal reporting requirements and regulations. 
  • Ability to analyze and interpret data or information: ensure its accuracy and compliance, identify the underlying principles, reasons, or facts of information by breaking down information or data. 
  • Ability to work independently and collaboratively in a team environment. 
  • Ability to work under tight deadlines and handle multiple requests or interruptions while still completing projects or work assignments in a timely manner. 
  • Ability to effectively communication skills, both written and verbal, with the ability to train and support staff. 
  • Ability to exercise high level of confidentiality and professionalism in handling sensitive information. 
  • Self-sufficient, resourceful, and committed to providing excellent customer service.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in related field or 2 years equivalent work experience demonstrating applicable skills in relevant industry or discipline. Equivalent experience is included in and not separate from total years of professional experience required
  • Two to four years of experience in data management and compliance, proficient in databases like, Michigan Student Data System, student test scores, school accreditation status, retention, and dropout rates, or similar is required. 
  • Experience in training and leading staff in technical and compliance-related tasks. 
  • This is a hybrid, remote and in-person position, resides in the Midwest, with travel to school sites and external meetings required.
  • Strong autonomy, reliable, responsible, dependable and willingness to take on responsibilities and challenges. 
  • Advance level of skills in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant technology applications. 

PHYSICAL REQUIREMENTS:

  • Vision: Ability to read small print and view a computer screen for prolonged periods, prepare, or inspect documents, and operate office equipment.  
  • Hearing: Ability to hear average or typical conversations and receive ordinary information. 
  • Speech: Ability to be understood in face-to-face communication, in person or remote, to speak with a level of proficiency and volume to be understood over a telephone or computer.  
  • Mental Demands: Ability to read, write, understand, interpret, and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgment and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Frequent multi-tasking, changing of task priorities, repetitious exacting work. Understand how to manage stress. high workflow management, high project coordination, and medium people engagement. 
  • Upper Body Mobility: Ability to use fingers to make small movements such as typing, picking up small objects, or pinching fingers together, use hands to grasp, and manipulate small objects; twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head. 
  • Strength: Ability to lift, carry, push, and pull objects weighing up to 10 pounds.     
  • Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors. Prolonged period sitting at a desk and working on a computer.  Work in a low to moderate noise environment with frequent deadline pressures.
