As an Office Manager, you will providing daily administrative support to residential program staff in a variety of capacities which includes assisting the Executive Program Director in ensuring daily operations of the residential program are efficient and organized so that the program runs effectively and the staff are supported with daily needs outside of clinical support. You will report to the Executive Program Director, Residential and will work onsite.
Responsibilities:
- Support the referral, intake and discharge processes for the office.
- Help coordinates visitations across the residential campus.
- Coordinate the onboarding of all new staff and staff at the end of employment or status change.
- Coordinate any IT service requests and needs of the program and staff.
- Assist staff in understanding the different computer programs that the agency and program utilizes.
- Engage with callers on a daily basis with a kind, caring and positive attitude.
- Manage all Level of Difficulty paperwork.
- Assist all counties with billing and program questions.
- Facilitate all third-party reviews for the service plan review meetings.
- Assist Executive Program Director with the review of information and submissions in Connections systems.
- Compile data related to admissions and discharges on a monthly basis.
- Compile data in a report summarizing office census, location and bed availability of Residential Census on a monthly basis.
- Order office supplies.
- Facilitate communication of parents, guardians, visitors, youth in care, clinical, child care, medical, supervisory, and other agency staff, assuring smooth program operations.
- Protect confidentiality by monitoring record cabinets for security and proper sign-out procedures, and by following release of information guidelines.
- Maintain clinical records and information sheets from admission to discharge, assuring timely and accurate filing of clinical material for open and closed records.
- Type/transcribe clinical dictation, reports, letters, and assessments, proofreading for accuracy.
- Provide support services to residential administrative staff, including taking and transcribing minutes, organizing project reports, and scheduling meetings as requested.
- Coordinate the quarterly case planning/treatment reviews for all youth in care and distribute information to participants.
- Manage program sheets, submit notices, and provide up to date census information to all that need it.
Requirements and Education:
- Requires a High School Diploma and at least three to five years of related experience, or an Associates and one to two years of education and experience or a Bachelors and less than one year.
