Description

Under the direction of the Supply Chain Manager the Purchasing Coordinator is responsible for coordinating
the buying and delivery process of goods or services and the placement and delivery of purchase orders. The
role will assist in coordinating and expediting the placement of purchase orders to ensure timely delivery of
material. The Purchasing Coordinator works within the procurement team to ensure that overall purchasing
objectives are carried out to meet company requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinate the buying and delivery process of goods or services on behalf of Central McGowan, or a specific
client or clients.
o Generate purchase orders for general items.
o Generate purchase orders for drop ship items.
o Generate purchase orders for special circumstances, coordinate next day air, 2nd day air, etc. if
necessary.
o Expedite purchase orders if necessary.
o Match purchase order totals to vendor confirmations.
o Work closely with the sales team and other areas of the business to ensure the best supply chain
solutions are achieved.
o Add new vendors to vendor file as necessary.
o Enter handwritten orders for sales staff.
o Research product information for sales staff.
Enter, analyze, and reconcile inventory data
o Identify and reconcile inventory discrepancies and/or negative balances
o Analyze inventory sales history and correct/adjust stocking levels as needed.
o Identify and reconcile internal cost/pricing issues on purchase orders
o Reconcile shipping errors on purchase orders with vendors while working with S/R personnel
o Reconcile pricing issues on purchase orders with vendors
o Reconcile damaged freight issues with vendors and shipping companies
o Add/edit/remove part numbers from TIMS system
o Reconcile purchase order and billing invoice problems by meeting weekly/daily with A/P personnel.
o Properly handle all inventory returns
o Execute product and inventory returns
o Execute warranty submission, returns, and replacements for all defective or failing products
o Be knowledgeable about products and pricing to effectively help customers.

SECONDARY RESPONSIBILITIES
o All other duties or projects as directed by management. 

Qualifications

QUALIFICATIONS/EXPERIENCE
o Associate’s Degree in Business, Supply Chain, or related field; or equivalent combination of education
and work experience
o 2+ years of purchasing or inventory experience in a distribution/industrial/welding supply environment
desired.
o Advanced skills in Windows based Microsoft Office, Excel and general ERP systems.
o Knowledge of process improvement tools and techniques (lean, 6 sigma)

o Demonstrated broad knowledge and technical expertise in area of specialty or industry.
o Demonstrated proficiency with PC software (WP, spreadsheets).
o Demonstrate the ability to gather, prepare, and present detailed business information ensuring accurate
estimating and pricing for the customer.
o Must have detailed knowledge of the distribution/manufacturing industry.
o Must adhere to all company policies, procedures and business ethics codes.
o Detail-oriented, organized and applies effective time management skills in order to meet all deadlines.
o Able to work independently with minimal supervision.
o Able to adapt to diverse situations rapidly and creatively resolve issues as they arise.
o Self-motivated, fast learner, shows initiative, willing to seek out needs and meet them.

JOB REQUIREMENTS
o Prolonged periods sitting at a desk and working at a computer.
o Must be able to lift objects weighing up to 25 pounds.
o To meet deadlines and support business operations works a flexible schedule, including nights and
weekends and attending events/meetings as needed.

WORK ENVIRONMENT
The work environment is primarily indoors. May have exposure to a variety of weather conditions when
traveling outside of the workplace.
