Job Summary: The Project Coordinator is responsible for coordinating and providing support to the operations team in executing projects.

 

Job Responsibilities:

  • Coordinate and oversee projects related to Fire Sprinkler systems, from inception to completion, ensuring adherence to project timelines and budget constraints.
  • Working closely with Project Managers and the Sales team, the Project Coordinator will provide support for monthly billing.
  • Create and maintain all project documentation, plans, and reports, as needed per contract specifications in ProCore.
  • Maintain documentation compliance for projects: Lien Waivers, OCCIP Enrollment, Wage determination for projects.
  • Communicate with Project Managers and SBS to ensure submittal and accuracy of pay applications.
  • Coordinate and interact with internal groups and functions, including Sales, design, project managers and branch managers for project communication.
  • Attend WIP meetings with the operations team.
  • Reconcile Project costs and company credit card transactions into Concur.
  • Ensure compliance with company policies, procedures, and quality standards.
  • Submit Pre-qualifications for General Contractors.
  • Work with AR team on aging accounts.
  • Process Service billing in E1.
  • Other duties as required

 

Qualifications

What we are looking for

  • High school diploma or equivalent required, advanced degree preferred.
  • Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with cross-functional teams.
  • Detail-oriented with a focus on quality and continuous improvement.
  • Ability to analyze data and make data-driven decisions.
  • Knowledge of project management methodologies and tools is a plus.
  • Prior experience in the fire suppression industry is desirable but not required
  • Valid driver's license with a clean driving record.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.

 

Physical Requirements:

  • Comfortable working in various environments
  • Capable of standing, walking, bending and kneeling for extended periods of time.
