POSITION OVERVIEW:

The Director of Grants and Special Projects is a member of the Strategy & Development Team, reporting directly to the Chief Strategy Officer (CSO). The Director of Grants and Special Projects works across all program areas, including collaborating with program leadership, Finance, IT, and Human Resources to ensure the effective design and submission of grants and the successful conceptualization and implementation of special projects, as well as providing back up to the CSO. This individual attends events and leads initiatives in support of La Familia’s brand identity, to broaden awareness of its programs and priorities, and increase the visibility across key stakeholder audiences in the East Bay and other geographical areas identified for growth. This individual will also assume the  responsibilities of the CSO related to leadership of the Strategy & Development and on special projects when the CSO is unavailable  or on leave. d This role will uphold and champion the agency’s mission, vision, and values and contribute to a collaborative and inclusive work culture. 

Essential Job Functions and Responsibilities: 

Grant Proposal Process Administration

  • Ensure the thorough, accurate, timely development and submission of grant proposals developed by the Grants and Special Projects team, and promote the same among other members in the Strategy and Development team. 
  • Ensure the efficient management of the proposal development process led by the Grants and Special Projects team, including work with internal stakeholders on proposal concept, narrative writing, generating and gathering proposal attachments, proposal budget development, and proposal submission.
  • Support initial post-award implementation through coordination and support to program leadership, including writing and adapting guiding documents for new programming and initiatives that reflect proposal and contract requirements. 
  • Provide a range of post-award administrative support including processes to track deliverables and coordinate the submission of interim reports and reviews, as appropriate. 
  • Resolves pre and post-award administrative issues related to sponsored projects.
  • Acts as an official agency representative to funders, partners, sponsoring agencies, and stakeholders including attending training and planning meetings, follow up, and contract implementation. 
  • Advises on specific agency requirements and guidelines to assist associates and program staff in the preparation and submission of proposals.
  • Assist in the identification of funding and partnership development opportunities.
  • Design and manage processes to a.) monitor current grants and anticipate and respond to renewal needs and b.) receive requests from program leaders. 
  • Leads projects of various sizes and at all levels to advance best practices and goals of the agency.

Strategic Projects Management

  • Conceptualize, brainstorm, create, and update project plans, including corresponding goals, charts, budgets, and documents. 
  • Utilize strong facilitation skills to lead project management work sessions and meetings and strong communication skills to provide reminders, follow-ups, and accountability to project contributors (including internal and external partners).
  • Communicate status updates to key stakeholders.
  • Provide consultation on special projects led by others related to agency objectives as appropriate. 

 Contract Review and Finalization 

  • Work with funders and internal stakeholders to support the negotiation of contract details and manage the contract execution process with funders. 
  • Develop contract and memorandum of understanding language and manage the execution process to formalize relationships with subcontractors and other partner agencies. 
  • Monitor contracts and memorandum of understanding dates and initiate renewal process, as appropriate. 

 

Staff Supervision:

  • Provide supervision to all assigned staff and acts as a liaison to assigned contractors. 
  • Ensure staff meet assigned activities and pursue agency objectives through maintaining processes to track activities, communicating assigned activities and progress to staff, and providing coaching and accountability around staff performance deficits in a timely manner.
  • Facilitate and/or coordinate quality training (at on-boarding and continuously) for all necessary skills and competencies for program staff to achieve productivity and quality standards.
  • Lead and attend regular staff meetings, supervision meetings, and training. 
  • Ensure direct reports follow all agency policies and procedures through providing on-going education and reminders on agency policies and procedures and providing coaching and accountability around violations in a timely manner, with an emphasis on Quality Improvement, Health Information Portability and Accountability Act (HIPAA), and other compliance policies and procedures as set by La Familia and the funder. 
  • Coordinate and maintain adequate team staffing, including collaborating with La Familia Human Resources for recruitment, retention, performance appraisals, employee discipline, and termination. 
  • Set employee schedules and approve employee timesheets, time-off requests, and expense reimbursements. 

Other 

  • Leads and attends meetings as a proxy for the Chief Strategy Officer when necessary.  
  • Provides program evaluation leadership, consultation, and implementation of data gathering and analysis systems, including the creation of deliverables to local, state, and federal funders. 
  • Lead and/or attend special events in service of furthering the reputation of La Familia.
  • Provide support to Strategy & Developments initiatives. 
  • Support the creation of materials associated with agency communications goals, including annual reports and internal and external newsletters.  
  • Provides individual and group supervision to interns as appropriate. 
  • Provides input and feedback on potential related projects/programs as appropriate.
  • Attend training, monitor trade publications, and participate in events relevant to key responsibilities.   
  • Track and regularly report on key metrics for responsible function areas. 

Qualifications

QUALIFICATIONS & EXPERIENCE:

  • Bachelor’s degree in social work, public policy, public health or related degree required.  Master’s degree preferred.  
  • 2 - 4 years’ experience developing county, state, and federal grant proposals required. 
  • 2 - 4 years’ experience with grant development and/or grant management of federal Community Health Center funding streams desired.
  • Experience working with individuals of diverse cultural backgrounds. 
  • Able to work independently with good judgment. 
  • Able to work flexible hours. 
  • Exhibits excellent interpersonal/communication skills.   
  • Demonstrates and models excellent “customer service” orientation, especially in the ability to interact with people at all levels within and outside the agency.
  • Thinks independently and can make informed decisions when needed. 
  • Exercises extreme discretion with the ability to hold, balance and transmit public and confidential information needed by various parties. 
  • Non-Profit and Community Based Organization experience highly desirable.
  • Proficient using MS Office products, particularly Word, Excel, Outlook and PowerPoint.
  • Acquires or maintains proficiency in using Google Drive products, including Docs, Sheets, and Forms.
  • Valid CA Driver’s license
