Duties and responsibilities
Accounting Specialist:
- Check and approve employee expense reports in SAP Concur.
- Double check and manage employee expenses daily.
- Follow-up with employees on expense reports as needed.
- Update expense-related excel spreadsheets.
- Manage incoming checks and deposit by mail into company bank account.
- Manage payments and vendor invoicing process for Foodmate US, LLC.
- Scan all A/P invoices and move to appropriate digital vendor file.
- Liason between departments regarding customer visits and training, new hires and staff schedules.
- Enter Foodmate BV invoices and scan them into digital folder on Z-drive.
- Creating and updating accounts for vendors in SAP.
- Reach out to new vendors regarding banking, w-9 and tax matters.
- Creating and updating vendor accounts in SAP.
- Backup for Accounts Payable Accountant.
- Assist in processing AR invoices for parts sales as backup.
Reception Desk:
- Work at the reception desk and be a representable first line of contact for the company.
- Update company phone directory as needed.
- Greet visitors and manage visitor log.
- Answer outside phone calls and manage all outgoing and incoming mail.
- Order office and café supplies as needed.
- Coordinate employee birthday calendar, send out birthday cards, gift cards, etc.
- Assist anywhere needed within the department as assigned.
Qualifications:
Ideal candidates for this position will:
- Have at least 3 years of A/R or A/P experience with a B2B company in a technical field.
- Are well versed in MS Excel and Outlook.•Are very accurate with numbers and are well organized.
- Have experience in completing different tasks and managing a variety of assignments within the finance / admin departments of a company.
- Know how to represent the company in a strong professional manner and are excellent hosts.
- Are flexible and willing to step in where needed.
- Have a great phone presence and provide excellent handling of outside phone calls.
- Experience with SAP and Concur and related software is a plus but can be taught.
- Have a customer-first and positive attitude to whatever is needed to advance the best interest of Foodmate and its customers.
Working Conditions:
This position is performed out of the Foodmate-US headquarters in Ball Ground, GA which is climate controlled, clean and pleasant modern office work environment. Standard work hours are Monday – Friday from 8am – 5pm. The position will be provided with a full desk workstation. This position doesn’t require any travel, or overnight stays. However, participation in the annual tradeshow (downtown Atlanta) is expected. The position will be supported with all computer equipment, phones and other tools necessary to be successful. Tools provided will be based on a case by case review of needs. Dress code at the Foodmate Headquarters is generally business casual but can be business formal during certain customer visits and events. This position is expected to dress professionally and representable.
Physical requirements:
This position requires the ability to perform (sitting) desk work for most of the days and working with computer screens, mouse and keyboard. Furthermore, some light lifting and carrying of mail, packages and supplies can be expected.
