Description

The Project Support Specialist (PSS) is responsible for providing administrative and logistical support for programs within the organization. The PSS provides essential services that help programs run smoothly by coordinating schedules, managing communications, organizing documentation, coordinating marketing and educational materials, supporting meetings and community events/activities. Project areas include community development and community organizing, substance abuse prevention, recovery support, mental health promotion, HIV/AIDS prevention, neighborhood safety, crime prevention/education, homeless outreach, and housing related projects.

 

Essential Job Functions include those listed below.

 

ESSENTIAL JOB FUNCTIONS:

  • Collaborate with team members to plan and organize project activities and their associated tasks.
  • Assist in developing and disseminating program material.      
  • Coordinate meetings, events and logistical support activities for in-house and community events/activities.
  • Organize and inventory program supplies and marketing materials and recommend supply orders based on available inventories.
  • Organize, load/unload and transport materials and equipment for community events/activities.
  • Answer phones, send and receive emails, draft documents, enter information into databases, maintain a filing system and keep project calendars.
  • Researching background information and educational support information that supports program planning and implementation.
  • Developing materials and data collection instruments, surveys, etc.
  • Collecting data information and organizing it to facilitate data entry processes.
  • Support program activities during normal business hours, evenings and weekend hours.
  • Perform event room set up and tear down including chairs, tables, av equipment, trash disposal, etc.
  • Assist with front desk responsibilities, greet facility guests, answer phones, send and receive emails, draft documents, enter information into databases, maintain a filing system and keep project calendars.
  • Receive and log-in all deliveries.
  • Must Embrace and embody the mission, vision, guiding principles, clinical vision, and goals of WestCare Foundation.
  • Perform all other duties as assigned.

Qualifications

Essential Qualifications:

To perform this job successfully, an individual must be able to perform the duties and responsibilities satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Certifications/Licensures:

  • A valid driver’s license and ability to obtain and maintain WestCare’s vehicle insurance is required.
  • During your tenure with WestCare there may be new requirements, including, but not limited to vaccinations that are issued by local, State, Federal, and/or Funders that WestCare may have to comply with. Should this occur Human Resources or appropriate personnel will inform you.

Education:

  • Associate degree or equivalent

Experience and Competencies:

  • Basic computer skills.
  • Adherence to the highest standard of ethical conduct,
  • Professional appearance and demeanor
