Position Summary:

Manages day-to-day administrative operations of The Village, VI.I.P.I.R and ensure all services comply with regulatory standard.

Essential Job Functions:

  • Assist project team in establishing and maintaining cooperative relationships with government agencies to keep them informed on Project activities and encourage for active partnerships.
  • Support state and local public planning within the organization.
  • Support administrative staff and project directors with communication needs.
  • Organize various events including roundtable discussions, workshops, seminars, and forums.
  • Maintain MOU’S with partnering agencies.
  • Report to Regional Vice President on achieved results via bi-weekly report.
  • Monitor and track governments appropriations.
  • Assists in policy and procedure development.
  • Ensure community education and organizing, to educate communities about substance abuse prevention/treatment and other related issues, speak at public engagements, represent their agency at local committees or fundraisers and participate in community advisory councils.
  • Participate with other community groups and represent WestCare as needed.
  • Prepare statistical reports, Master Population Sheets, and patient treatment days, etc.
  •  Maintain Petty Cash- managing request for petty cash, receipts, reconciliations, and reimbursements.
  • Accounts Payable-
    • Prepare and make agency deposits. Prepare Deposit Summary forms.
  • Accounts Receivable-
    • Monetary donations
    • Prepares billing for Treatment fees and Halfway house rent and record all payments received.
  • Answer non-technical inquiries regarding general information about programs.
  • Assumes duties related to administrative operations in the absences of the Regional Vice President
  • Work closely with the WestCare Foundation’s national departments, including Finance and Accounting, HR, Marketing, Developments, Research and Evaluation, Professional Development, the Office of General Counsel, and other departments as required by the job.
  • Provide leadership for staff, providing motivation, conveying a sense of pride, promoting and role modeling strong ethical behavior.
  • Champion within the organization, a commitment to honesty, integrity, and responsible corporate behavior. Lead with compassion for the most vulnerable in the community.
  • Must embrace and embody the mission, vision, guiding principles, clinical vision, and goals of WestCare Foundation
  • Performs other duties as assigned by supervisor.
  • Travels locally and abroad to attend meetings and trainings. 

Qualifications

Essential Qualifications:

  • Two years of experience in a supervisory role
  • Two years experience in providing Mental Health Care
  • Working knowledge of therapeutic community concepts and co-occurring disorder treatment is preferred.

Certifications/Licenses:

Education:

  • Master’s degree in Public Administration or related field; or Bachelor’s Degree in Business Administration and Management or related field and two years of experience in public service.

Experience and Competencies:

One year of substance abuse experience preferred

Working Conditions:

  • Work is primarily performed in an office or residential treatment setting, and
  • Some outdoor activities may be required.

Physical Demands:

  • Requires mobility and physical activity: Having an adequate range of body motion and mobility, to work in the office environment including standing and walking (even and uneven surfaces) to interact with co-workers in the office environment, sitting for extended periods of time, bending, twisting, reaching, balancing, occasional lifting and carrying of up to 30 pounds.  Constant use of computer and telephone systems is required which includes coordination of eye and hand, and fine manipulation by the hands (typing, writing, and working with files).  Requires the ability to operate a motor vehicle.
  • Requires talking: Expressing or exchanging ideas by means of the spoken word.  Talking is required to impart oral information to employees, clients, patients, and the public, and in those activities in which the employee is required to convey detailed or important spoken instructions to others accurately, loudly, or quickly.
  • Requires hearing: Hearing is required to receive and communicate detailed information through oral communication.
  • Requires seeing: Clarity of vision at 20 inches or less as well as vision adequate for driving a motor vehicle. This factor is required to complete paperwork for many of the employee’s essential job functions and when driving a motor vehicle.
  • The normal work routine involves no exposure to human blood, body fluids or tissues.  Job duties do not include performing or assisting in emergency medical care or first aid.

Mental Demands:

  • Requires the ability to collect and analyze complex numerical and written data and verbal information to reach logical conclusions. 
  • Requires the ability to work and cooperate with clients, co-workers, managers, the public and employees at all levels in order to exchange ideas, information, instructions and opinions. 
  • Requires the ability to work under time deadlines.
