Office Location: Oakland, CA (up to 50% hybrid role of in-person and remote)
Compensation: $23.04/hourly, generous benefits package

Program Summary
The FLY Leadership Training Program is a ten-month program for youth who are interested and motivated to become changemakers in their communities. Youth are identified based on their needs for support, particularly around education, legal advocacy, social support, and safety.
Leadership Program Coordinator - Position Summary
The Leadership Program Coordinator supports all administrative, organizational and process-related functions of running an effective and efficient Leadership Training Program in Alameda County. This includes providing data-entry support, event-planning and coordination, and operations support to the Alameda County office as needed.
Position Responsibilities
Plan and Coordinate Leadership Training Program Events and Activities
- Plan and organize program events and activities for youth (includes planning meals, booking locations, communicating with program staff, developing rides lists, etc.)
- Ensure that all supplies needed for events are purchased, packed and ready for event and the binder of permission slips is up to date and physically with the team at each event—in case of youth emergencies
- Manually track all aspects of event preparation and execution in planning spreadsheets
- Create and manage event budgets
- Create flyers for events/activities to be sent to all youth prior to events
- Transport youth to and from designated program events/activities as needed
- Complete necessary post-event data entry
Manage Program Paperwork and Data Entry
- Track youth attendance at events and enter youth hours into Efforts to Outcomes (ETO) database and other tracking systems
- Process youth referrals from school, community, and probation stakeholders
- Organize and update all program binders (including permission slips and medical information, retreat binder, recruitment binder, overall program binder updates, etc.)
- Maintain, update, and organize master files (physical files, Google Drive files, etc.) for the program
- Ensure all documents and confidential information are current and appropriately filed
- Support Case Managers in entering staff notes and assessments in the ETO database as needed
Prepare for Annual Youth Leadership Retreat
- Create youth paperwork for clients and families and track youth paperwork completion
- Purchase and prepare all retreat supplies and organize all retreat bins (includes binders, handouts, journals, calendars, ceremonial candles, name badges, youth t-shirts and bags, etc.)
- Coordinate the pick-up and drop-off of vehicles and pack/unpack vehicles with retreat supplies
- Confirm retreat logistics and prepare contract and reimbursement paperwork in collaboration with the Leadership Program Manager
- Support retreat trainings for staff and peer mentors (includes reserving rooms, copying handouts, purchasing snacks, etc.)
Provide General Programmatic and Administrative Support
- Complete all program reimbursements and enter into the budget tracking system
- Create a photo album capturing a year in the Leadership Program (includes ordering pictures, organizing albums, buying supplies, and decorating)
- Assist with program administrative duties as needed
- Assist with supporting youth-related life events (includes purchasing birthday cards, ordering flowers and gift cards for youth, etc.)
- Lead Leadership Program pitches to interested youth at Law Program sites
- Provide assistance and guidance to program volunteers and interns as needed
Compensation & Benefits
This position is a full-time, non-exempt role at a rate of $23.04/hour with differential pay options based on an advanced degree and, when applicable to the role, speaking another language. Our Total Rewards Package also includes the following:
