Description

The City of Wood Dale is seeking a full-time Executive and Special Events Assistant.  This is a highly skilled and responsible position within the Administration Department.  This position performs diverse secretarial work and confidential assignments, handles a variety of administrative details, and has extensive contact with City officials and staff, representatives of outside agencies, and the general public.  This position also assists staff with the coordination and promotion of community events. 

Normal duties for this position include, but are not limited to:

  • Provide administrative and clerical support to the City Manager and Administration Department staff;
  • Draft and distribute memoranda, reports, agendas, minutes, and other documents;
  • Assist in the creation of presentations and other distributed materials for various meetings and projects;
  • Provide general customer service and assistance to the public via the front desk and telephone;
  • Respond to the public's questions, concerns, and complaints, or direct them to the appropriate staff person;
  • Work alongside the Director of Community Relations to coordinate, run and promote events.
  • Work evenings and weekends as needed depending on meeting and event schedules.  

Qualifications

The successful candidate must possess strong organizational skills and the ability to multi-task in a busy office environment.  Excellent written and oral communication skills, proficiency with Microsoft Office Suite, the ability to operate office equipment, and the ability to keep confidentiality are essential.  This position must establish and maintain effective working relationships while performing the essential job functions outlined in the job description to provide a high level of customer service.

Associate's Degree from an accredited institution with a minimum of 2-5 years of related experience required; experience in municipal government preferred.  Experience and/or training in event planning a plus.    

The salary range is $59,370 - $86,726 DOQ.  Excellent benefits include Illinois Municipal Retirement Fund; paid vacation and leave accrual; medical, dental, vision, and life insurance.
