Position Summary 

The Advancement Associate serves as the welcoming face of the Advancement Office while providing essential support to its team, including the Chief Advancement Officer. This role encompasses administrative, organizational, and project-based responsibilities that contribute to the success of the school’s development and fundraising initiatives.

Key Responsibilities

  • Administrative Support: Provide direct support to the Chief Advancement Officer, handling communications and managing their portfolio in Raiser’s Edge.
  • Calendar Management: Maintain and coordinate Advancement Office calendars, including meetings with the Head of School (HOS), Chief Financial and Operating Officer, and Board Chair. Manage conference room scheduling and preparation.
  • Visitor & Call Management: Professionally greet office visitors, field incoming calls, and direct inquiries to the appropriate team members.
  • Event Coordination: Assist with planning and executing major donor, alumni, and parent events, including preparing materials, managing RSVPs, and ensuring all details align with stewardship and donor relations goals.
  • Advancement Support: Collaborate with Advancement Services and Donor Relations teams, support endowment reporting, and assist with stewardship activities.
  • Office Management: Keep the office tidy and professional, manage supply orders, and distribute mail. Process purchase orders and help track the budget for Advancement-related expenses as required.
  • Head of School (HOS) Support: Facilitate scheduling, briefings, and call coordination for the HOS as needed.
  • Additional responsibilities may be assigned by the Chief Advancement Officer.

Qualifications

Position Requirements

  • Bachelor’s degree required.
  • 2–3 years of related professional experience, ideally in an independent school or nonprofit setting.
  • Collaborative team player with excellent communication skills.
  • Adaptable and effective in engaging with individuals from diverse backgrounds.
  • Experience in using development software, Raiser’s Edge preferred. Understanding of database management, gift processing, and donor relations.
  • Excellent computer skills, including Microsoft Office Suite (particularly Excel) and Google Suite.
  • Excellent customer service skills and a commitment to continuous improvement.
  • Communicate effectively, orally and in writing, with a broad range of internal and external constituents, including faculty, staff, students, alumni, parents, donors, volunteers, and friends of the School.
  • Demonstrate diplomatic, professional, and courteous interpersonal skills. 
  • Display discretion when dealing with sensitive, confidential issues.
  • Detail-oriented with outstanding planning and organizational skills, the ability to multitask, work independently and collaboratively, and manage multiple projects on a deadline.
  • Ability to work effectively with people of diverse backgrounds and promote a positive working environment.
  • Possesses sound judgment and problem-solving capabilities with high integrity, ethics, and dedication to the school's mission.

Physical Demands:  Must be able to sit, stand, walk, bend, lift, and for the majority of the work day. May be required to lift up to 25lbs.
