Description

The Virginia law firm of Gentry Locke Attorneys seeks a part-time Legal Assistant/Receptionist to join our team in Lynchburg. A successful candidate will be an ambitious team-player with the ability to work well in a fast-paced environment. The Receptionist/Legal Assistant will be responsible for various tasks including, but not limited to, scheduling meetings, document processing, opening new files, greeting clients and guests, directing phone calls, conference room set-up, and monitoring inventory of office and kitchen supplies. 

Demonstrated knowledge of Microsoft Office including Word and Outlook is essential. The willingness and ability to learn and expand on current technology skills including versatile cloud apps is required in order to navigate the robust technology package the firm maintains.

Responsibilities:

  1. Opens new files, submits conflict of interest checks, and maintains all client and general files. Conducts periodic review for storage of older files; partners with file clerk to prepare files for closing.
  2. Responsible for preparing correspondence, including but not limited to, transcribing dictated letters, memos, and emails.
  3. Receives clients and visitors in a professional manner.
  4. Reads, sorts, and dates incoming mail depending on attorney preference. Ensures all outgoing mail is delivered in a timely manner.
  5. Assists professional staff and attorneys with various administrative responsibilities such as processing invoices, time entry, and preparing correspondence and binders.
  6. Directs telephone calls to appropriate attorneys and staff. Receives and records information from telephone callers or in person visitors and communicates information to attorneys and staff. Responsible for handling firm cold calls and directing them to appropriate contact within each practice group.
  7. Maintains inventory for office and kitchen supplies and communicates with Office Services Coordinator when additional inventory is needed.
  8. Responsible for stocking all office and kitchen supplies upon receipt.
  9. Responsible for daily mail pick-up from the post office.
  10. Meets and greets clients and visitors and ensures proper clearance and routing of such parties in accordance with Firm policies.
  11. Assists with scheduling meetings and coordinating food and beverage for meetings. Responsible for conference room set-up and break down. Monitor scheduled meetings in the conference rooms.
  12. Responsible for handling firm cold calls and directing them to appropriate contact within each practice group.
  13. Observes confidentiality of attorney-client relationship.
  14. Maintains an organized reception area.
  15. Performs other related duties incidental to the work described herein.

Qualifications

Knowledge, skills, and abilities required or preferred:

  1. Experience in a receptionist, administrative assistant, or legal assistant position required.
  2. College degree preferred. High school diploma or GED required.
  3. Demonstrated knowledge of Microsoft Office.
  4. Ability to work well and cohesive in a team environment.
  5. Ability to lift up to 20 lbs. and move office supplies from front office area to back-office area.
  6. Willingness and ability to learn and expand on current technology skills including versatile cloud apps is required.
  7. Skills and ability to organize and prioritize numerous tasks and complete them under time constraints.
  8. Ability to proofread typed material for grammatical, typographical, or spelling errors.
  9. Excellent communication skills to communicate professionally via e-mail, telephone and in-person and follow instructions effectively from a diverse group of clients, attorneys, staff, and guests.
  10. Ability to operate standard office equipment.
  11. Part-time position; Monday – Friday 10:00 a.m. to 3:00 p.m.
