The Operations and Fleet Coordinator is a member of the mid-level leadership team who provides oversight and manages daily operations, compliance, and quality assurance for the D2S MicroTransit Program. Key responsibilities include coordinating schedules, overseeing fleet maintenance, managing supplies, and leading and supporting drivers through recruitment, training, and performance reviews. The Operations and Fleet Coordinator also engages with community partners, assists in promotional efforts, and provides technical guidance to improve operations.

 

REPORTS TO: Director of Operations

 

DUTIES AND RESPONSIBILITIES:

Operations Coordination

  • Coordinate day-to-day operations of the D2S MicroTransit Program.
  • Ensure building accessibility, ensuring the Scheduler is onsite and that Transportation Drivers have arrived for first, middle, and closing shifts.
  • Track and manage the scheduling and availability of the vehicle fleet.
  • Support Schedulers and serve as a back-up as needed.
  • Train new Schedulers as necessary.
  • Meet with Schedulers and Transportation Drivers monthly for updates and to address potential issues.

Fleet and Maintenance Management

  • Ensure regular maintenance and timely repairs for the vehicle fleet.
  • Ensure vehicle fleet license plates are renewed as required (August/January).
  • Report on and coordinate bus maintenance and vehicle repairs.
  • Oversee the exchange and purchasing process for the vehicle fleet.
  • Secure the vehicle fleet daily and ensure that vehicles are washed and cleaned externally once a month and deep cleaned annually.
  • Monitor and track fuel usage and other fleet gas trends for reporting purposes.
  • Schedule maintenance for the vehicle fleet and submit repair forms to the CEO.

Compliance and Quality Assurance

  • Collect and analyze feedback from riders to identify service improvements.
  • Conduct regular program assessments to ensure quality, safety, and compliance.
  • Provide actionable recommendations for improving safety, reducing liability, and driving program growth.
  • Pull and review software-generated data to monitor performance metrics.
  • Maintain checks and balances to ensure operational efficiency and compliance.
  • Provide monthly D2S Vehicle Fleet Reports to the CEO, copying the Director of Operations.
  • Track and inform the CEO about Driver’s DOT physicals and drug screenings.
  • Check and monitor vehicle fleet internal monitoring devices for Transportation Drivers' quality assurance.
  • Conduct regular quality assurance checks for Transportation Drivers.
  • Report all D2S MicroTransit legal and partnership issues to the CEO.
  • Prepare quarterly reports (receipts, safety concerns, etc.) and monthly FTA data reports.

Recruitment, Hiring, and Training

  • Manage all Transportation Drivers and Schedulers.
  • Participate in the hiring process for Transportation Drivers.
  • Actively recruit or refer Transportation Drivers when needed.
  • Conduct performance reviews for Transportation Drivers and the Scheduler.
  • Train the Director of Operations as a back-up for potential absences.
  • Provide technical skill support to Transportation Drivers to increase knowledge of business operations, reduce costs, increase productivity, and minimize risk.

Community Engagement and Promotion

  • Make marketing and promotion recommendations for D2S MicroTransit.
  • Send Transportation Drivers into the community during downtime to distribute RACK cards and other literature to local businesses and community partners.
  • Refer potential D2S MicroTransit partners and funders to the CEO.

Program Support

  • Community Street Outreach: Ordering food, supporting food delivery, and onsite coverage for events.
  • Food Access Program.
  • Support any new programs and partnerships that may be introduced, ensuring smooth integration and alignment with current operations.
  • Run errands for programs or organization as needed.

Inventory and Supplies Management

  • Ensure a 30-day supply of vouchers, RACK cards, fliers, and other materials for the Transportation Drivers, Scheduler, and the vehicle fleet.

Development Team Participation

  • Be an active member of the D2S development team: assessing current programs, providing insight, making recommendations for program or fleet improvements as needed.

On-Call and Backup Support

  • Serve as an on-call and back-up Transportation Driver when necessary.

REQUIREMENTS:

  • Must have some college or Minimum of Two (2) Years of Experience related to the specified duties and Responsibilities
  • Must possess a valid and current Commercial Driver’s License, endorsed for Passenger Vehicles
  • Must Have a Minimum of Two (2) Years For Hire Endorsement
  • Must be able to pass a Criminal Background Check
  • Must pass DOT Physical & Drug Screening
  • Must be at least 21 years of age
  • Must have a Reliable Vehicle with Current Vehicle Insurance
  • Full-Time: Must be able to work 40 Hours per Week
  • Must work some Weekends (8-10 per year) and Evenings (rotate shifts with other drivers to cover 7am-8pm schedule)
  • Hourly Pay Rate: Negotiable Based on Education & Experience
  • Knowledge of Indianapolis and Far-Eastside area Preferred

ESSENTIAL SKILLS & ABILITIES:

  • Written communication and reports
  • Excellent computer skills & thorough knowledge of Microsoft Office Programs, including Word & Excel.
