SUMMARY

Under the direction of the manager of finance and accounting the accounting specialist performs a variety of administrative and detail-oriented tasks related to the accounting functions of the organization.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to accomplish each essential function satisfactorily.

  • Review employee expenses and documentation to meet reimbursement requirements
  • Maintain client records and fee schedules in billing software
  • Review client contracts and engagement letters to confirm invoicing meets requirements
  • Create, review and distribute client invoices
  • Record accounts receivable and process bank deposits
  • Communicate past due invoices to clients, research billing discrepancies, document client contact updates and respond to client inquiries
  • Record accounts payable invoices and vendor payments in accounting software
  • Reconcile corporate purchase card activity
  • Reconcile balance sheet accounts
  • Participate in ongoing education to remain current in areas of accounting
  • Perform administrative and other tasks as assigned
  • Enter time and expenses accurately and timely
  • Handle and process confidential information with complete discretion
  • File projects and materials according to internal records retention guidelines
  • Regular, predictable and punctual attendance

 

COMPETENCIES

  • Knowledge and understanding of generally accepted accounting principles
  • Excellent organizational skills, attention to detail and accuracy
  • Excellent oral and written communication skills
  • Ability to prioritize and execute multiple tasks with competing deadlines
  • Interpersonal skills to work collaboratively with all levels of the organization
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and QuickBooks or other integrated accounting software
  • Ability to work independently

 

EDUCATION AND/OR EXPERIENCE

  • Minimum of a high school diploma or GED
  • Minimum three years of experience in an accounting support staff role

 

SUPERVISOR RESPONSIBILITIES

This position does not have supervisory responsibilities.
