Goodwill Northern Michigan is looking for a dedicated and organized Communications and Administrative Support Coordinator to join our Traverse City team. In this role, you will support multiple departments by ensuring the smooth execution of events, maintaining accurate data records, and providing essential logistical support. Essential Functions:

  • Supports administrative tasks across several departments
  • Ensures the smooth execution of internal and external events and meetings
  • Maintains accurate and organized data records
  • Provides logistical support for various initiatives across multiple departments

 

Primary Duties:

  • Support the mission and vision of Goodwill Northern Michigan.
  • Perform work in a safe manner observing all safety policies and procedures.
  • Perform duties and interact with all team members, clients, donors, and customers in a professional and friendly manner. 
  • Respect the diversity of others including, but not limited to, those with cultural, ethnic, and gender differences, people experiencing homelessness, and persons with visible and non-visible disabilities.
  • Responsible for accurate data entry: recording email addresses from events, archiving communications, and updating National Change of Address (NCOA) records after mailings.
  • Provide logistical support for internal and external events and meetings.
  • Coordinate mailings and RSVPs, including invitations for donor events, store event invites, and special finance notices.
  • Facilitate employee engagement and recognition initiatives by organizing and distributing onboarding welcome packages, newsletters, holiday and birthday cards, anniversary pins, and other recognition materials.
  • Coordinate the procurement of branded items, office supplies, and employee recognition materials, including thank-you cards, birthday cards, business cards, name badges, and anniversary pins.
  • Manage and distribute branded materials, including store signage, promotional coupons, business cards, and donation handouts.
  • Serve as the main point of contact for customer service inquiries related to store hours, donation procedures, and other organizational matters.
  • Maintain store hour updates across platforms, including phone messages, website, door signs, and social media.
  • Administer store surveys, process results, and ensure appropriate recognition for participants.
  • Support volunteer recruitment, onboarding, and stewardship in coordination with program managers.
  • Oversee the Good Partner Voucher program by distributing vouchers, responding to partner inquiries, and ensuring proper audit compliance.
  • Coordinate coalition programs such as the Basic Needs Coalition and Welcome Home Baskets, ensuring donations are processed and allocated to areas of greatest need.
  • Provide administrative support to the Board of Directors, including meeting scheduling, recording minutes, and Board portal maintenance.
  • Perform other duties as assigned.

 

Education, Licenses, Certifications, and Experience:

  • Bachelor's Degree preferred.
  • 1-3 years related experience in nonprofit communications, fund development, or relevant combination of experience.

 

Knowledge, Skills, and Abilities:

  • Proficiency with computer software, tools, and emerging technologies to effectively manage philanthropic projects and programs and to create efficiencies.
  • Proficiency with Adobe Creative Cloud including InDesign and Microsoft Office.
  • Organizational skills and ability to follow up with high accuracy and precision.
  • Strong communication skills across multiple platforms and media.
  • Demonstrated interpersonal skills for developing and maintaining constructive, professional, cooperative working relationships with donors, volunteers, team members, and community stakeholders.
  • Administrative experience in an office environment required.
  • Ability to work flexibly and independently and as part of a team.

  • Routinely bends, stoops, and stretches throughout the day.
  • Ability to lift up to 25 pounds.
  • This position may occasionally require routine local travel and the ability to work a flexible schedule including early morning, evening, and weekend hours.
