Basic Function
This position is responsible for coordinating virtual and in-person training classes for Express Leadership Academy. Coordination includes monitoring and responding to class participant emails, scheduling sessions, sending class invitations, classroom set-up and tear down, printing and compiling class materials, and working with the EEI Events and Travel department on orders for transportation and/or meals for in-person training classes. This position is also responsible for posting class attendance within the learning management system (LMS).
The position is a high-detail role and requires the ability to multi-task, juggle schedules, maintain details, handle challenges and exhibit high levels of customer service. Individuals in this role will utilize Outlook, MS Word, Excel, PowerPoint, MS Teams, SharePoint, Zoom and a learning management system.
Essential Functions
Class Administration:
Coordinate live and virtual training classes, including scheduling, class preparation, communication with attendees, organization of class materials and supplies, and class set-up before, during and after training (including stocking class drinks and snacks, setting up tables for learners, cleaning and straightening training room after the class, etc.). Schedule sessions/meetings for class attendees, obtain and email class e-gift prizes. Field calls and emails regarding classes, etc. Offer learner and trainer support during the training experience. Keep master attendee lists and other class documentation.
Webinar Producer:
Behind-the-scenes producer of virtual classes, which includes uploading materials for download by attendees, organizing and placing attendees in breakout rooms, assisting the trainer with polling and clearing annotations, admitting attendees into the session, and assisting both learners and trainers during the session with any needs.
Learning Management System Administration:
Set up leadership academy classes within the LMS. Enroll learners in classes within the LMS. Close classes in the LMS, including posting of attendance.
Learning Design Support:
Utilize PowerPoint to serve as a back-up to the Learning Design Team for specific program designs and updates. Could include large event PowerPoint design and some material creation.
Certification Support:
Utilize the learning management system to assist in managing the online certification programs. Support may include running reports, updating learning records, communicating with attendees, and printing and mailing physical certificates to participants.
Typical Requirements
Strong self-starter with business experience or degree preferred. Strong computer skills required including data input experience and the use of Microsoft Office products. Intermediate Outlook, Word, Excel and PowerPoint skills required. Experience with Zoom and/or Microsoft Teams required. Must have excellent customer service skills. Must be detail-oriented, self-motivated, have high levels of accuracy and excellent communication skills. Must exercise self-initiative for required tasks and demonstrate a team player attitude by offering assistance and support to team members. Strong organizational and time management skills.
Decision-Making
Tasks are semi-routine or diversified, requiring some judgment in the application of a wide range of established rules and procedures but within limits of standard practices.
Supervision: Received – Given
Received: Specific direction with minimal supervision. Work alone on routine work, plan and prioritize own work and question phases of specific assignments per need. Supervisor gets involved in need-to-know situations to accomplish assigned objectives.
Accuracy, Accountability and Control
Probable errors would be due to carelessness in most instances and would be readily detected by standard check or routine cross-check. May affect or delay activities, progress and/or working time.
Contacts: Internal – External
Contacts are made regularly with other departments, external customers and team members. Contacts are made with minimal supervision. Discretion must be exercised to assist all contacts in a professional and friendly manner to prevent breakdown of positive customer/team relations.
Confidential Information
Training records of customers may be considered confidential. Training progress and participant involvement may be considered sensitive and confidential.
Working Conditions
This position works at the EEI headquarters location in Oklahoma City. 4 days per week are required to be in-office, 1 day per week can be worked remotely.
Office at HQ: Normal office environment. Requires physical strength, bending, lifting in working with some supplies and equipment.
Virtual Office: Home office environment occasional.
